About The Position

The Talent Acquisition Coordinator will support the recruiting lifecycle for a recruiting team by providing needed administrative, reporting, and transactional support. This position will perform accurate and timely candidate tracking and reporting throughout the recruiting lifecycle to communicate status and progress on behalf of the team and support team organization. This individual will execute transactional activities in Workday and coordinate interview logistics (e.g., scheduling, reserving rooms, arranging parking). The Recruiting Assistant will support the recruiting team’s ability to provide welcoming and personal experiences for candidates and a seamless transition from interview, to offer processing, to onboarding by partnering closely with the Onboarding team for hand-offs and scheduling. This person may also be involved in opportunities to research and identify process gaps and streamline existing processes. This role will help enable USC’s vision while championing USC’s culture and values.

Requirements

  • Minimum Education: Associate's degree

  • Minimum Experience: 2 years of job-related experience or transferrable skills
  • Minimum Skills: Experience in talent acquisition. Excellent interpersonal and written and oral communication skills. Experience working in an office or department support role, performing data entry/reporting. Ability to work independently and proactively, as well as collaborate with teams. Excellent organizational skills, with experience coordinating logistics for events. Ability to provide support as needed on projects and exercise discretion with confidential information. Familiarity with Microsoft Office.

Nice To Haves

  • Bachelor’s degree in business, psychology, communications, or another related field.
  • Three or more years of experience in talent acquisition.
  • Experience in human resources and/or higher education.
  • Experience working with HR applications (such as Workday HCM and Applicant Tracking Systems (ATS)).

  • Preferred Skills: Bachelor’s degree in business, psychology, communications, or another related field. Experience working with Applicant Tracking Systems (ATS) and human resource information systems (HRIS).

Responsibilities

  • Organizing information to gather key inputs from phone screens, interviews, and other evaluation mechanisms and to measure the status and progress of recruiting activities.
  • Performing Workday transactions for the Talent Acquisition team throughout the recruiting lifecycle including generating pipeline reports, managing applicant and candidate information in Workday, and triggering background checks and onboarding activities for new hires.
  • Demonstrating ability to understand the recruiting lifecycle and triggering key communications and tasks for candidates and hiring managers accordingly.
  • Providing consistent support to the recruiting team by processing Workday transactions in a timely manner and maintaining high data quality.
  • Maintaining a responsive line of communication with recruiters and hiring managers to resolve outstanding questions or issues.
  • Supporting a positive candidate experience by helping to coordinate interviews (virtually and in-person) including key activities such as reserving physical spaces, coordinating calendars/scheduling, arranging parking and helpful candidate instructions, and other ad hoc administrative support activity related to hiring.
  • Soliciting constructive feedback and insights from hiring managers, recruiters and the broader team.
  • Proactively incorporating suggestions for continuous improvement of work.
  • Expanding knowledge of Workday modules and capabilities as well as recruiting leading practices.
  • Proposing solutions for ways to automate manual tasks to increase consistencies and efficiencies.
  • Running reports in Workday to extract important data as requested by talent acquisition and hiring teams.
  • Escalating and routing urgent issues and requests through appropriate channels.
  • Making decisions with integrity.

  • Supporting recruiting strategy set by broader talent initiatives.

  • Performing other related responsibilities as requested and when necessary.
