About The Position

The Talent Acquisition Coordinator provides comprehensive support across all functional areas of the talent acquisition process, from scheduling interviews through onboarding and post-offer activities. This role supports all personnel involved in the staffing process by managing organizational and administrative tasks, ensuring accuracy, timeliness, and compliance at every stage. The coordinator partners closely with Talent Acquisition Specialists to deliver an efficient, effective, and compliant hiring process while creating a positive, welcoming experience for candidates. The position operates under limited supervision and requires sound independent judgment, strong confidentiality, and a high level of professionalism.

Requirements

  • High school diploma or GED required.
  • Six years of experience in talent acquisition, recruitment, human resources, or a related field.
  • Experience in varied business situations that develop confidentiality, maturity, discretion, personal tact, judgment, and initiative.
  • Knowledge of human resources and recruiting policies and procedures, including all steps in the full life cycle of recruiting.
  • Demonstrated experience supporting recruitment, hiring, and onboarding processes.
  • Strong customer-oriented mindset with the ability to act as a task-focused coordinator.
  • Ability to create a warm, inviting, and welcoming environment for candidates.
  • Strong verbal and written communication skills.
  • Proven technological proficiency, including hands-on experience with applicant tracking systems and other recruiting technologies.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to prioritize, multitask, and manage competing deadlines in a fast-paced environment.
  • Ability to work under limited supervision and exercise independent judgment.
  • High level of accuracy and attention to detail in administrative and documentation tasks.

Responsibilities

  • Partner with Talent Acquisition Specialists to ensure an efficient, effective, and compliant staffing process that delivers a positive candidate experience.
  • Schedule interviews by coordinating availability with candidates, hiring managers, and interview teams.
  • Arrange travel accommodations for candidates when needed and process related reimbursement requests in a timely and accurate manner.
  • Initiate and guide candidates through the hiring process, ensuring that applications, new hire paperwork, and I-9 forms are completed accurately and on time.
  • Audit information and documentation handled during the hiring process for accuracy, completeness, and compliance with internal policies and applicable regulations.
  • Conduct new hire orientation for assigned locations, ensuring new employees receive a clear and welcoming introduction to the organization and its processes.
  • Schedule and track drug tests and physical examinations for candidates, ensuring all required screenings are completed and documented.
  • Monitor background check results, follow up on any outstanding items, and ensure all pre-employment requirements are satisfied before start dates.
  • Coordinate on-site files at the assigned location, including historical I-9 originals, job requisition files, and other relevant hiring documentation.
  • Administer or assist with employment tests as needed, ensuring proper procedures and documentation are followed.
  • Maintain a high level of confidentiality, discretion, and professional judgment when handling sensitive candidate and employee information.
  • Provide responsive support and customer service to candidates, hiring managers, and internal stakeholders throughout the recruitment and onboarding process.
  • Use applicant tracking systems and other recruiting technologies to update records, track candidate progress, and maintain accurate data.
  • Prioritize and manage multiple tasks and deadlines in a fluid, fast-paced environment while maintaining attention to detail.
  • Contribute to creating a warm, inviting, and welcoming environment for candidates during all stages of the hiring process.
