Associated Students, Inc. (ASI) employs student-focused professionals with equity-mindsets. Established in 1963, ASI is a non-profit corporation guided by a student board and managed by full-time professional staff. ASI is considered a part of the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 27,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. ASI is engaged in the work of being a learning organization. The Human Resources (HR) department consists of a team of dynamic individuals who are committed to navigating the exciting and unprecedented opportunities presented to them. HR is currently in the process of restructuring into four distinct units (Talent Acquisition, HR Systems and Compensation, Employee Experience and Manager Support), exploring new opportunities, implementing new systems, expanding outreach, cleaning up old processes, reviewing and rethinking policies and practices to add greater value to the humans they serve and the student experiences they support. It’s an exciting journey to be on, where HR can co-create and make positive changes, remove unnecessary barriers, and streamline what they do. With bold ideas, the specialized knowledge, and experiences of team members, learned failures, and constant analysis and execution—the HR department is a powerful strategic asset to ASI! Under the supervision of the Talent Acquisition Senior Specialist, the Talent Acquisition Assistant will assist with the creation of an exemplary candidate experience area in Human Resources (HR) assisting with the recruitment process from the point of application submission through the completion of onboarding, including hands-on interviewing, high-touch candidate communication, and providing hiring committee support. In alignment with ASI’s guiding ideas, the Talent Acquisition Assistants contribute to a student learning-centered HR Department by working collaboratively with organizational stakeholders. The Acquisition Assistant Team will provide excellent customer service and serve as the initial contact to ASI. Team members will perform routine and non-routine tasks to support the Talent Acquisition area and Human Resources Department.

  • General computing skills to use (or learn to use) Microsoft Word, Excel, PowerPoint, Outlook, Teams, and other workstation software

  • Ability to prioritize tasks, take initiative, and remain flexible in a changing environment

  • Able to work Tuesday and Thursday afternoons

Nice To Haves

  • 6 units of Management & Human Resource (MHR) or equivalent, preferred
  • 6 months of customer service, preferred

Responsibilities

  • Assists in the screening of candidates to ensure posted minimum qualifications are met
  • Assists with the management of the university student eligibility process and required checks are completed
  • Serves as the HR representative on all ASI interview teams to ensure consistency, compliance and serve as a resource for those involved.
  • Assist with the maintenance of ATS to provide prompt, personalized service to external users and candidates
  • Assists in ensuring the job offer process and related paperwork is executed and communicated in a clear and timely manner
  • Assists with ensuring organization onboarding process and applicable documentation is in compliance with all applicable laws and regulations (i.e., I9 verification, background check completion)
  • Assists with onboarding administration for in-coming staff; ensure timely processing of new employee documentation and transition to the employee experience team
  • In collaboration with stakeholders, creates and ensures an inclusive candidate experience
  • Ensure all required employment certifications are verified, documented, and maintained
  • Assist in the development, documentation, and implementation of standard operating procedures for the screening, candidate selection, and onboarding process, including human-centered best practices
  • Collaborates with key stakeholders in providing oversight of historical records, current and future talent acquisition activities
  • Maintains Standard Operating Procedures (SOPs) for the talent acquisition area
  • Assist with general HR inquiries, issues and discrepancies from employees, managers, and administrators, as needed
  • Models the behaviors of ASI core values, constantly challenging one’s mental models as an active learner
  • Attends all ASI required trainings, including but not limited to, annual all staff and department retreats
  • Performs other related duties, as assigned
