About The Position

The Talent Acquisition and Recruiting Specialist is responsible for supporting the full-cycle recruitment process within the ADP Recruitment Management system, ensuring a seamless experience from job requisition through onboarding. This role partners closely with hiring managers and the Director of Human Resources to coordinate recruitment activities, source candidates, maintain compliance, and ensure all hiring steps are completed efficiently. The role requires high levels of attention to detail, organization, and the ability to support hiring teams across PST, CST, and EST zones. Other duties as assigned to support our growing HR department will be required. This position reports to the Director of Human Resources. This is an onsite position located in our Orlando, FL office.

Requirements

  • Experience using ADP WFN Recruitment or other ATS software.
  • Intermediate Excel reporting knowledge and skills within HRIS.
  • Bachelor’s degree in human resources, Business Administration or related field required.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Ability to manage multiple requisitions simultaneously.
  • High attention to detail and data accuracy.
  • Proficiency in HRIS and applicant tracking systems.
  • Ability to support recruitment operations across multiple time zones.
  • Flexible availability to coordinate interviews and hiring activities across all locations.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to support PST, CST, and EST time zones.

Nice To Haves

  • High volume recruiting experience in AV, logistics, sales and warehouse preferred.
  • At least 3-5 years of talent acquisition and recruitment preferred within AV, logistics, drivers and warehouse is a plus.
  • SHRM or HRCI certifications a plus.

Responsibilities

  • Assist hiring managers with creating and submitting job requisitions in ADP Recruitment Management.
  • Review requisitions for accuracy, required approvals, and proper job descriptions before posting.
  • Post open positions internally and externally.
  • Source and recruit candidates using various methods such as passive sourcing and attending career fairs.
  • Timely closing of requisitions when filled.
  • Monitor job postings and update requisitions as needed.
  • Review resumes and applications within ADP Recruitment and shortlist candidates for Hiring Managers.
  • Conduct initial candidate screening via phone screens, ADP messaging, emails etc.
  • Maintain all candidate records and status updates in the ADP system.
  • Coordinate with hiring managers to identify qualified candidates for interviews.
  • Schedule and coordinate interviews with hiring managers and candidates directly.
  • Manage interview logistics including calendar coordination, virtual meeting links, and interview confirmations and reminders.
  • Ensure a smooth interview process for the candidates and hiring teams.
  • Prepare and generate offer letters in ADP based on approved compensation and hiring details with Hiring Managers.
  • Coordinate offer approvals and ensure timely delivery to candidates.
  • Track candidate acceptance and update hiring status within the system.
  • Initiate and track background checks, employment verification, and other pre-employment screenings.
  • Ensure DOT has received/accessed their files as needed in a timely manner.
  • Ensure all required documentation is completed and cleared prior to onboarding.
  • Proactively communicate directly with candidates regarding outstanding requirements.
  • Ensure successful transition from recruitment to onboarding in ADP Workforce Now.
  • Confirm completion of new hire paperwork, background checks, compliance documentation, and training assignments.
  • Coordinate onboarding timelines with hiring Managers (no less than 3 days for start date from the time the offer is extended).
  • Maintain accurate employee records within ADP, including emergency contact info, address confirmation annually, and personal email/phone number updates.
  • Ensure documentation is completed and stored in Employee Documents and assigned accurately to relevant categories.
  • Maintain recruitment records in ADP and ensure compliance with company and regulatory standards.
  • Send declination/rejection emails to all candidates who were not selected when the position has been closed.
  • Assist with recruitment reporting, hiring metrics, and tracking candidate pipelines.
  • Ensure confidentiality of candidate and employee information.
  • Assign and track New hire and Employee Annual Compliance Trainings across the organization.
  • Provide new hires with their Job Description and State Specific Handbook at time of hire, tracking and filing acknowledgement in ADP.
  • Prepare Year End EEO-1 and BLS Reporting, ensuring ADP information is accurate and complete.
