About The Position

The Talent Acquisition Administrator plays a critical role in supporting the recruiting function by managing offer processes, coordinating pre-employment activities, and ensuring a seamless candidate experience. This position partners closely with the Talent Acquisition team, hiring managers, and external vendors to provide administrative, logistical, and compliance support across the hiring lifecycle. Requirements

  • 2+ years in a data entry, recruitment, HR, or administrative support role
  • Experience with applicant tracking systems and HRIS platforms preferred
  • Experience generating reports, surveys and tracking data, with the ability to analyze results and present insights
  • Discretion and confidentiality with sensitive information is mandatory
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to manage multiple priorities in a fast-paced work environment

Nice To Haves

  • Previous experience in a construction or industrial industry considered an asset

Responsibilities

  • Draft, proofread, and distribute offer letters as per request by hiring managers in a timely and accurate manner, ensuring compliance with internal policies and relevant labor regulations
  • Schedule and track fit-for-duty exams, working closely with candidates and third-party vendors
  • Process invoices for recruitment vendors and services; with accuracy and timeliness.
  • Assist in the booking and coordination of hiring events, job fairs, or campus recruiting activities including logistics and SWAG preparation, and ensuring clear communication with hiring teams to align on goals and candidate engagement strategies.
  • Coordinate and manage candidate travel arrangements, including booking transportation, flights, and accommodations as needed.
  • Handle candidate expense reimbursements and ensure all submissions are documented and processed in compliance with policy.
  • Ensure proper documentation and retention of candidate records, offer letters, and testing results in alignment with company policy and compliance standards.
  • Prepare various staffing reports including metrics related to employee turnover, tenure, and other workforce analytics.
  • Coordinate and conduct exit interviews for long-tenured employees, capturing insights on role history, organizational knowledge, and opportunities for improvement. Summarize and share findings with the Talent Acquisition Director to support workforce planning and knowledge retention.
  • Administer recruitment-related surveys; collect, review, and analyze responses to identify trends and areas for improvement, and compile findings into actionable reports for the Talent Acquisition Director.
  • Perform additional tasks, responsibilities and special projects as required to support the Talent Acquisition team and contribute to the overall success of recruitment efforts.
