About The Position

The University of Toronto’s Department of Civil & Mineral Engineering offers a dynamic compendium of research and academic programs with a mandate that spans a wide range of applications in professional practice, encompassing the built environment and its infrastructure, transportation engineering and planning, structural engineering, environmental engineering, mining and geomechanics. Our department seeks to uphold and strengthen its position as a preeminent leader in education and research, and to continue to develop sustainable solutions for the global community across the spectrum from mineral engineering to urban infrastructure. The CivMin Student Services Office serves more than 900 students across multiple undergraduate and graduate degree programs, 44 professors, hundreds of annual applicants, and numerous other stakeholders. Reporting to the Director, Student Services & External Relations, the TA, Scheduling & Frontline Advising Officer provides exceptional service in support of the mission of the Department of Civil & Mineral Engineering. Working closely with stakeholders, the incumbent will be responsible for: (1) the coordination of the graduate and undergraduate course timetables, classroom scheduling, and course administration throughout the year, and (2) teaching assistant (TA) hiring and administration. As the first point of contact between the Student Services Office and applicants, students, faculty and the general public, the incumbent plays an important role in ensuring that stakeholders have a positive experience when interacting with the office. Front-line advising, particularly for undergraduate students is a key element of the role. The incumbent also supports various aspects of program administration including document and mail management, filing, room bookings, data entry, awards, finding exam chairs, reminding students of deadlines, and tracking of milestones, etc.

Requirements

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years of recent and related experience within a large post-secondary institution.
  • Significant experience coordinating large course timetables & scheduling classrooms.
  • Significant experience using the LSM portal (or equivalent classroom booking software).
  • Demonstrated customer service orientation.
  • Proficiency using ROSI, or equivalent level student information system.
  • Excellent computer skills, including significant experience with Microsoft Office suite (Word, Excel, Outlook, etc.) & SharePoint.
  • Excellent judgement and diplomacy on sensitive and/or confidential issues.
  • Demonstrated analytical and problem solving skills, sound decision-making and resourcefulness.
  • Strong interpersonal skills with the ability to maintain productive working relationships with both internal and external stakeholders.
  • Excellent verbal and written communication skills, with the ability to communicate with a diverse population.
  • Excellent organizational and time management skills.
  • Strong initiative, attention to detail, interpersonal, proactive and highly resourceful.
  • Proven ability to work independently and effectively manage competing priorities while maintaining a high degree of accuracy and quality.
