About The Position

The Swimming and Diving Team Manager will assist the Head Swimming Coach with all managerial aspects of the program. This includes clerical work, organizing team travel, preparing facilities and equipment, video taping, and assisting with team functions like community service and recruiting events. The role requires strong organizational and time management skills, with a minimum commitment of 15 hours per week. Responsibilities also include ensuring the safety and setup of facilities for both the team and visiting teams, managing equipment, and operating meet management software. The position involves administrative duties, maintaining confidentiality, and attending home and away competitions as assigned. The role also requires compliance with NCAA regulations and University policies, including those related to the Clery Act and EEO.

Requirements

  • Acceptance and enrollment as a full-time student at the University of Hawai‘i at Manoa.
  • Knowledge of Swimming and Diving.
  • Familiarity with Google Drive, Google Sheets, Microsoft Office Word and Excel.
  • Ability to properly execute time management.
  • Ability to work early mornings.
  • Ability to lift up to 80 lbs.
  • Ability to communicate effectively.
  • Ability to work independently.
  • Ability to manage time wisely.
  • Ability to work in a fast-paced environment with exposure to sun, heat and rain.
  • Must be a full-time undergraduate (12 credits at UHM) or classified graduate student (8 credits at UHM), except during the final semester/quarter of a degree program.
  • May participate in limited on-court or on-field activities during practice or competition.
  • Shall not provide instruction to student-athletes.
  • Shall not participate in countable athletically related activities except as permitted.
  • Undergraduate team managers must maintain a minimum semester and cumulative GPA of 2.0 or above and complete a minimum of 12 credits each semester.
  • Classified graduate team managers may be managers for two (2) years only and must maintain a minimum semester and cumulative GPA of 3.0 or above.

Responsibilities

  • Assist with all managerial aspects of the Swimming and Diving program under the direction of the Head Swimming Coach.
  • Perform clerical work such as data input and filing paperwork.
  • Organize team travel.
  • Prepare practice and game facilities and equipment.
  • Video tape practices and meets.
  • Assist with team functions, including community service events and recruiting weekends.
  • Ensure the setup and safety of the DKAC for the Swimming and Diving Team and visiting teams.
  • Set up and clean facilities and equipment (lane lines, weight room, laundry, etc.).
  • Assist with the setup, operation, and maintenance of the power tower bucket system.
  • Manage the hydration station (Powerade and water jugs), student-athlete equipment (water bottles/caps/paddles/fins), clocks, and videotaping.
  • Perform video editing of practices and meets.
  • Handle administrative duties, meeting preparation, and record keeping while maintaining confidentiality.
  • Be present prior to, during, and after all home competitions for meet preparation, management, clean up, and operating the Hytek or Swimcloud Meet Manager.
  • Assist with the organization and execution of all recruiting weekends, including meals, campus tours, and transportation.
  • Comply with the Swimming and Diving Team Guidelines, including academic standards.
  • Perform the duties of a Campus Security Authority (CSA) as defined by University policy and federal law with regards to the Clery Act.
  • Maintain confidentiality of information, files, and records in accordance with federal and state laws and University of Hawai‘i policies.
  • Maintain a collaborative working relationship with coaching staff, team members, support staff, administrators, and others associated with the program.
  • Know, recognize, and comply with laws, policies, rules, and regulations governing the University of Hawaii, NCAA, and affiliated Conferences.
  • Immediately advise the Director of Athletics or designee of any suspected violations.
  • Attend travel competitions as assigned.
  • Perform other duties as assigned.

Benefits

  • Maximum amount a team manager may receive will be equal to 50% of an undergraduate resident tuition per semester.
  • Tuition does not include payment for Outreach College extension courses.
