About The Position

The Survey Administrator provides key administrative assistant and operational support to survey teams. Coordinating and managing travel, expenses, ordering supplies, processing certifications, and assisting with project setup. This role requires a proactive, positive, organized, and resourceful professional who can effectively manage multiple priorities in a fast-paced environment.

Requirements

  • Previous administrative experience, preferably in construction, engineering, or surveying is preferred
  • Strong organizational and time-management skills
  • Proficient with Microsoft Office Suite and comfortable learning new software (experience with UKG is a plus)
  • Excellent written and verbal communication skills
  • Ability to work independently while supporting multiple teams
  • Detail-oriented with a commitment to accuracy

Responsibilities

  • Book hotels and arrange travel accommodations for field staff
  • Prepare and process per diem and regular expense reports
  • Troubleshoot field staff administrative needs (e.g., emails, UKG system assistance)
  • Order field supplies and manage bulk supply purchases (hard hats, safety vests, etc.)
  • Coordinate Home Depot and other vendor orders for field crews
  • Manage project badging for survey crews
  • Support team morale by organizing celebrations for project wins and birthdays
  • Track and maintain OSHA certification records
  • Prepare and send W-9 forms to vendors or clients as needed
  • Set up project folders and maintain organized filing systems for project documentation
  • File and archive documentation to ensure records are complete and accessible
