About The Position

The Surgical Scheduler is responsible for initiating the surgical booking process, compiling necessary surgical packets, and coordinating pre-surgical appointments. This role involves interacting with a diverse patient population, ensuring consents are complete, and communicating with surgeons, patients, operating rooms, and insurance companies to confirm surgery dates and obtain clearances. The scheduler also handles disability and FMLA paperwork, discusses financial obligations, explains regulatory forms, and answers patient questions. They work with multiple systems to ensure accurate registration and support clinical workflow, while also understanding and supporting the practice and hospital's strategic plans and guiding principles. A key aspect of this role is ensuring an optimal patient experience and promoting patient and employee safety.

Requirements

  • High School Diploma/G.E.D.
  • Excellent customer service skills.
  • Ability to multi-task in a high patient volume unit.
  • Ability to learn and utilize resources.
  • Strong time management skills.
  • Ability to review information and draw appropriate conclusions.
  • Good judgement and ability to problem solve; escalate issues as needed.
  • Strong teamwork skills and work ethic.
  • Access to information is based on a “need to know” and is the minimum necessary to properly perform assigned duties.
  • Use or disclosure shall not exceed the minimum amount of information needed to accomplish an intended purpose.

Nice To Haves

  • 2-3 years office experience or one year of related experience in a medical practice.
  • Experience using an electronic health record.
  • Experience using Microsoft Office.

Responsibilities

  • Initiate surgical booking process.
  • Compile surgical packets including booking sheets, consents, pre-op orders, prior authorization, and pre-admission forms.
  • Prepare patient disability and out of work/school paperwork.
  • Update the system with registration, scheduling, and insurance information.
  • Discuss financial obligations and explain regulatory forms.
  • Answer patient questions.
  • Work in multiple systems for accurate registration and to support clinical workflow.
  • Understand and support the practice and hospital's strategic plan, policies, procedures, and initiatives.
  • Represent the organization and support its ideals and principles.
  • Ensure an optimal patient experience.
  • Promote patient and employee safety.
