About The Position

The Surgical Coordinator is responsible for managing the scheduling and coordination of surgical procedures for patients. This includes ensuring patient needs are met according to physician instructions and administrative protocols, handling all necessary paperwork, and entering appointments into a computerized system. The role involves reviewing surgical packets with patients, collecting payments for specific procedures, and coordinating activities with various departments and doctor offices. The coordinator will consult with medical staff on patient needs, schedule procedures with facilities, submit medication requests, verify insurance eligibility, obtain referrals/authorizations, and secure medical clearances. Additionally, the position requires handling telephone and email inquiries, confirming patient appointments, and managing document scanning and patient check-ins using the NextGen system.

Responsibilities

  • Travels to Omni Eye Services locations and/or Surgical Facilities as deemed necessary by Management.
  • Ensures patient needs are met in accordance with the surgery center, physician instructions and administrative protocol.
  • Schedule patients in person or over the phone for the recommended surgical procedure completing all necessary paperwork, and enters appointment into computerized scheduler, updating information as necessary.
  • Reviews surgical packet with patients, while going over all enclosed paperwork and details involved with the surgery.
  • Create surgical packets to be kept in the department with the necessary consents and medical paperwork attached and sorted.
  • Collects payments for multifocal lenses and self pay patient - if necessary.
  • Coordinates activities with other departments, or doctor offices - if necessary.
  • Consults with nurse managers, doctors and staff on medical problems, special accommodations, and policies to ensure patient needs are met.
  • Schedules procedures with the facility (if required).
  • Forwards necessary information to facility for surgery.
  • Submits medication to pharmacy prior to surgery if required.
  • Verify insurance eligibility and obtain any necessary referrals/authorizations for the surgeon and the facility and enter in NextGen system if required.
  • Obtain the required medical clearance if necessary.
  • Answers telephone/emails and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel.
  • Confirms patient surgery appointment with all necessary information to make sure all questions have been answered and information is clear.
  • Scans surgical packets.
  • Check in patients within NextGen and scan surgical encounters if necessary.
