About The Position

The Surgery Scheduler is responsible for the accurate scheduling of procedures in the Operating Room. This role involves planning and implementing surgery times and locations, utilizing computer databases to predict case length and turnover time, and adjusting surgical schedules as needed. The scheduler must pre-determine the availability of anesthesia, OR staff, supplies, equipment, and instrumentation, and inform relevant personnel of any special needs. They are also responsible for surgical confirmations, managing changes and cancellations to the schedule, and maintaining the Operating Room desk by ordering supplies, charging for items, and controlling departmental forms. Additionally, the role involves generating surgical schedules, ensuring the accuracy of staff call sheets and contact information, and retrieving and logging surgical specimens. The Surgery Scheduler also verifies the completeness and accuracy of operative records, including informed consent, history and physical, and lab results, and orders necessary diagnostic tests. They also verify surgeon privileges for new procedures. Effective communication with all customers, including co-workers, physicians, visitors, patients, and vendors, is crucial. This includes managing scheduling calls, maintaining confidentiality, demonstrating telephone etiquette, acting as a resource person, facilitating communication flow of the OR schedule, providing timely patient status information, and communicating with charge nurses and anesthesia regarding efficient OR room utilization.

Requirements

  • High School Diploma or GED equivalent.
  • Knowledge of keyboard.
  • Good communication skills.
  • Good organization skills.
  • Meets Advocate behavioral expectations.

Nice To Haves

  • 2 - 3 years previous healthcare experience preferred
  • Knowledge of Medical terminology preferred.

Responsibilities

  • Scheduling of surgeries based on scheduling guidelines (block times, equipment, c-arm, staffing, vendor notification) which includes scheduled procedures and add-ons
  • Plans and implements surgery time and location into surgical schedule.
  • Utilizes computer data base to predict case length and turn over time with high degree of accuracy.
  • Adjusts surgical times by moving schedule up and tightening availability of room times.
  • Pre-determines the appropriate availability of anesthesia, OR staff, supplies, equipment and instrumentation.
  • Informs charge nurse and materials management of any special equipment, supplies, implant needs at the time of scheduling.
  • Obtains pertinent information, through appropriate channels necessary for appropriate scheduling/case preparation.
  • Surgical confirmations to be completed timely and accurately
  • Changes to surgery schedule to be done accurately, timely with communication to applicable departments and vendors which includes cancellations.
  • Management of surgical reservations during office hours
  • Orders unit/scheduling office supplies as appropriate.
  • Charges for supplies/equipment as appropriate.
  • Cancels patient supply/equipment via Casecheck
  • Document control of departmental forms
  • Generating surgical schedule for charge nurse, OR staff and distribution to applicable departments
  • Accuracy of OR staff call sheet
  • Accuracy of OR staff, physician, departmental, and vendor contact information
  • Retrieval, verification, and logging of surgical specimens
  • Maintenance of temperature log for blanket warmers and refrigerator
  • Checks records for completeness as appropriate, and accuracy, contacting the circulating nurse or anesthesiologist immediately when discrepancies are noted. (informed consent, history and physical, lab results)
  • Order entry of diagnostic labs, radiology, cardiology, hematology (blood bank)
  • Generates data for surgeons and offices when requested.
  • Verification of privileges of surgeons for new procedures, at the time of scheduling.
  • Consults with the charge nurse when concerns arise to resolve questions regarding the schedule.
  • Manages scheduling calls and accurately records and reports messages.
  • Demonstrates a competent, courteous and professional manner with co-workers, physicians, visitors, patients, vendors and other.
  • Maintains confidentiality in execution of all duties.
  • Demonstrates telephone etiquette within 3 rings
  • Acts as a resource person to staff, physicians, visitors and others as needed.
  • Facilitates inter and intradepartmental communication flow of OR schedule.
  • Provides timely information regarding patient status to other departments
  • Communicates with charge nurse and anesthesia regarding efficient utilization of OR rooms.
