About The Position

The Surgery Scheduler acts much like a Receptionist, greeting patients and visitors, collecting patient demographic and insurance information for the billing system, scheduling patient appointments, and answering telephones to distribute messages. The primary responsibility of this role is to coordinate surgical appointments on behalf of patients with a Surgeon and their office staff across several surgery facilities. Additional duties include checking patients in, verifying and updating patient demographics, collecting co-pays, scheduling follow-up appointments, confirming patient eligibility, handling incoming telephone calls, ensuring accurate daily bank deposits and cash drawer balancing, maintaining a neat front office, restocking supplies, and rescheduling patients due to physician schedule changes. The position requires the ability to speak and read English proficiently, knowledge of standard office equipment, and strong personal computer and software skills, including MS Windows, Excel, Access, Word, PowerPoint, internet, and e-mail, with proficient keyboarding and mouse skills.

Requirements

  • Minimum Education: High School or equivalent.
  • Minimum Experience: 0-6 months.
  • Ability to speak and read English at a level that is sufficient to satisfactorily perform the essential functions of the position.
  • Knowledge of standard office equipment (i.e., calculator, fax, photocopier).
  • Personal computer and computer software skills (i.e., MS Windows, Excel, Access, Word, PowerPoint, internet, e-mail).
  • Windows computer skills including proficient use of keyboarding, use of mouse or keys for functions such as selecting items, use of drop-down menus, scroll bars, opening folders, copying and similar operations required upon employment or within the 1st two weeks of employment.

Responsibilities

  • Greet patients and visitors in a respectful, pleasant manner, using eye contact immediately upon entering center.
  • Be responsive to patient and visitor needs.
  • Collect patient demographic and insurance information for the billing system.
  • Schedule patient appointments.
  • Answer telephones and distribute messages to appropriate personnel.
  • Coordinate surgical appointments on behalf of patients with several surgery facilities, working with a Surgeon and their office staff.
  • Check patients in and create visits in the computer system.
  • Distribute and verify patient demographics and update into system.
  • Collect appropriate co-pays and ensure co-pay is documented on super bill.
  • Schedule follow-up appointment as needed.
  • Confirm eligibility for scheduled patients about 1 day prior.
  • Handle all incoming telephone calls and exercise judgment as to the urgency or other nature of the calls and direct them to appropriate personnel.
  • Assure accurate bank deposit completion daily.
  • Make sure that the cash drawers are balanced at the end of the day.
  • Keep the front office neat and orderly.
  • Restock front office as needed i.e., forms, office supplies etc.
  • Reschedule patients when any change in physician schedule occurs.
  • Perform other duties as assigned.
