Requirements

  • High school diploma/GED or equivalent working knowledge.
  • 2 years of medical clerical experience, preferably in a hospital central scheduling or physician office scheduling setting.
  • Knowledge of medical terminology.
  • Knowledge of payor contract terms and processes.
  • Excellent organizational skills.
  • Effective human relations and communication skills.
  • Effective teamworking skills.
  • Ability to meet deadlines and productivity standards.
  • Knowledge of word processing and spreadsheet software.
  • Ability to use computerized scheduling systems.
  • Ability to maintain accurate statistical records, gather data, and produce reports.

Responsibilities

  • Scheduling surgical, cardiovascular or obstetrical procedures using a computerized scheduling system.
  • Entering patient charges, orders, and other pertinent information into the system.
  • Compiling and reporting statistical information to management.
  • Acting as an office liaison for department staff, physicians, and patient families.
  • Coordinating case times for elective, urgent or emergent surgeries, cardiovascular or obstetrical procedures.
  • Verifying and reviewing physician privilege status prior to scheduling.
  • Acquiring authorization numbers, History and Physicals, and results of laboratory tests.
  • Ordering previous medical records when necessary.
  • Typing and printing physician orders for multiple physicians and departments.
  • Scheduling and maintaining physician block time and block time releases.
  • Entering physician’s orders for lab, blood bank, medical imaging, and cardiology.
  • Entering results of diagnostic tests, patient registration information, and patient charges.
  • Conducting charge management audits for the assigned area.
  • Reconciling charge packet information with the audit.
  • Identifying and correcting missed or incorrect charges.
  • Acting as a receptionist, answering phones, and relaying messages.
  • Greeting and directing patients, visitors, physicians, and families.
  • Answering questions about policies and procedures.
  • Acting as a liaison among nursing units, physicians, and staff to relay patient data.
  • Screening requests for patient information and referring to appropriate staff.
  • Recording and typing minutes of staff meetings.
  • Preparing and distributing staff call rosters.
  • Entering facility work orders and supply orders.
  • Requesting repairs/maintenance for business machines.
  • Arranging for pickup and delivery of instruments and equipment.
  • Maintaining a smooth workflow in the area.
  • Working with minimal supervision, under stressful situations, setting priorities, and maintaining confidential information.
