About The Position

The Surgery Scheduler is responsible for scheduling patient appointments, surgical procedures, and diagnostic procedures. This role provides patients with instructions regarding their procedures and ensures an efficient, patient-friendly workflow to deliver quality care. The Surgery Scheduler also answers incoming calls and serves as a liaison between physicians, their office staff, and the hospital to ensure patient satisfaction.

Requirements

  • High School Diploma or General Educational Development (G.E.D.) required.
  • Minimum of 1-3 years in patient scheduling, insurance registration, or patient care delivery required.
  • Pleasant personality and courteous manner imperative.

Nice To Haves

  • Post-secondary education/training in healthcare, or business operations preferred.
  • Prior Surgical Technologist or Medical Assistant experience preferred.
  • American Heart Association Basic Life Support (BLS) preferred.

Responsibilities

  • Schedules cases and pre-registers patients, interacting closely with surgeons, surgeon's office staff, anesthesia, and pre-surgery nurses.
  • Schedules cases correctly and coordinates according to scheduling guidelines.
  • Follows up with physician and/or physician office staff regarding scheduling conflicts, issues, and concerns.
  • Ensures necessary equipment, lab, and devices are reserved for each individual patient's surgery.
  • Completes appropriate order sets, including patient consent for surgical procedures.
  • Schedules surgical cases in accordance with surgical services scheduling guidelines and policy.
  • Follows scheduling guidelines when scheduling cases, paying attention to block schedule parameters.
  • Calculates necessary room time using physician case time data and turnover time standards.
  • Enters appropriate scheduling information into the physician's calendar.
  • Provides accurate diagnosis codes and procedure codes for scheduled procedures.
  • Provides patient and family with educational materials to ensure adequate knowledge and understanding of the scheduled procedure.
  • Requests and sets up access to EMMI for patients to view videos for thyroid and parathyroid surgeries.
  • Informs patients and families of all surgery information, including details of where and when to report for the surgical procedure.
  • Serves as a liaison between physicians, physician's office staff, and the hospital by coordinating surgical services scheduling for patient/customer satisfaction.
  • Reviews schedules in advance and revises as necessary to prevent errors and reduce risk.
  • Communicates with appropriate parties to make schedule adjustments to ensure efficiency and prevent any unforeseen circumstances.
  • Coordinates multi-surgeon cases.
  • Demonstrates the ability to identify opportunities for and provide individualized customer service/patient care according to customer/patient needs.
  • Is familiar with scheduling software and performs skills competently and independently.
  • Checks for appropriate resource scheduling.
  • Reviews and prepares the surgery schedule on a daily basis.
  • Reports issues/concerns as necessary.
  • Maintains competence in required skill sets.
  • Enters patient surgical procedures into the electronic medical record.
  • Assures positive customer relations are maintained with hospital personnel, patients, visitors, and physicians.
  • Performs telephone triage to determine patient needs by documenting patient's needs to appropriate staff and advising patient on appropriate instructions.
  • Promotes a positive work environment and teamwork on a daily basis.
  • Builds collegian relationships with other peers across Surgical Services.
  • Maintains professional appearance, behavior, and work environment.
  • Returns scheduling calls promptly and courteously.
  • Maintains teamwork, positive mentoring, and willingly assists with training of employees by positively assisting with the implementation of new procedures and job functions to enhance Access Center services.
  • Is responsible for maintaining department productivity measures and being actively engaged in the day-to-day process.
