About The Position

This is an onsite role at the Main Campus, supporting the ENT administrative team. The position operates Monday–Friday, 8:00 AM–4:30 PM. The Surgery Scheduler acts as a primary point of contact for patients, handling tasks such as answering calls, scheduling, rescheduling, and canceling appointments. They are also responsible for coordinating surgeries and providing patients with resources and referrals to surgery centers. The role involves close collaboration with other administrative staff and may include occasional support for clinic operations. This position is primarily phone-based and demands strong communication, customer service, and organizational skills.

Requirements

  • High School Diploma or equivalent, required.
  • Two years of medical secretary experience, required.
  • Knowledge of filing, word processing, spreadsheet, medical terminology, coding, and office skills.
  • Excellent customer service skills to interact with department staff and the public.
  • Interpersonal skills necessary to deal with the public in a polite and effective manner.

Responsibilities

  • Schedules surgeries by coordinating with patients, physicians, and other medical staff.
  • Confirms patient eligibility for surgery by reviewing medical records and insurance coverage.
  • Coordinates pre-operative testing and medical clearance for patients.
  • Ensures that all necessary equipment and supplies are available for the scheduled surgeries.
  • Communicates any changes in the surgical schedule to all relevant parties.
  • Maintains accurate and up-to-date records of all scheduled surgeries and related information.
  • Serves as a primary point of contact for patients by answering calls, scheduling, rescheduling, and canceling appointments.
  • Coordinates surgeries and provides resources and referrals to surgery centers.
  • Works closely with other administrative staff and may occasionally support clinic operations.
