About The Position

Schedules surgeries and special equipment needs, and processes patient charges. Assists in maintaining efficient flow of the Operating Room (OR) schedule and communicates all pertinent information to appropriate parties. Our team supports the coordination of surgical procedures for our surgeons and patients, ensuring patients high quality service as they take the next steps in their care plan. Schedulers will navigate patients through surgeon and OR access, provide pre-operative instructions and checklists, and answer any follow-up questions between scheduling and date of surgery. We partner with our Hospital OR and Pre-Admission teams, Primary Care teams and Pre-Authorization, etc. to ensure all necessary orders, steps and needs are met. We also serve as liaison between Pre-Auth team and our surgeons or patients to address any follow-up inquiries from the Ins Co, as well as reporting back.

Requirements

  • High School Diploma or GED required.
  • Typically requires 1 year of experience in a health care setting performing customer service functions that may include experience in scheduling, registration, insurance authorization and/or patient billing.
  • Reliable and responsible candidates with much patient/customer service experience.
  • Communication and Clarity of documentation, as well as critical thinking skills are essential.

  • Experience within Epic, Microsoft systems such as Outlook (both email and calendar management), Word, Excel, etc.

Responsibilities

  • Coordinate scheduling of surgical procedures between physicians and their offices, available OR specialty time, anesthesia, and other departments as necessary (i.e., X-ray, MRI, CT, etc.).
  • Coordinates and communicates changes to existing schedule with appropriate departments/staff and make adjustments to ensure maximum utilization of rooms and equipment.
  • Schedule next day and beyond surgical procedures.
  • Maintains and updates surgery assignments.
  • Prints and distributes future OR schedules to all appropriate areas.
  • Notifies providers with schedule changes and additions.
  • Obtains necessary lab work, x-rays, H&P (History & Physical) as applicable.
  • Process patient charges and calculate based on procedure type, length of procedure, and supplies used.
  • Review revenue to ensure charges are entered for every patient.
  • Runs reports and verifies correct entry of codes and updates charges if errors are made.
  • Answer, screen, triage, prioritize, and determine urgency of incoming calls.
  • Act as a resource to providers, staff, patients and families.
  • Operate and troubleshoot office equipment, arrange for maintenance repairs as necessary.
  • May maintain inventory of office supplies, and complete and submit supply orders to replenish stock.
