About The Position

The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures, ancillary testing, and related patient services to ensure efficient operating room utilization and a seamless patient experience. This role serves as a liaison among physicians, patients, insurance providers, and clinical departments, requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Requirements

  • High School Diploma or GED required.
  • Minimum of three (3) years of office, clerical, healthcare scheduling, or related experience required.
  • Strong organizational and time management skills with the ability to prioritize competing demands.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to establish and maintain professional relationships with patients, providers, and healthcare team members.
  • Proficiency with computer applications and healthcare scheduling systems.
  • Ability to thrive in a fast-paced, high-volume healthcare setting while meeting deadlines.

  • Previous surgical scheduling or healthcare experience preferred.

Responsibilities

  • Schedule and coordinate surgical procedures, diagnostic testing, and related services based on physician preferences, patient needs, and facility requirements.
  • Recommend surgery dates and times to providers while ensuring appropriate operating room utilization and scheduling efficiency.
  • Maintain knowledge of surgical procedures, physician preferences, equipment needs, and scheduling requirements.
  • Ensure surgical cases are scheduled accurately and within established guidelines and timeframes.
  • Prepare and maintain reports, schedules, and patient documentation related to surgical procedures.
  • Utilize scheduling and healthcare information systems to manage appointments, procedures, and patient information.
  • Review future operating room schedules and collaborate with physicians to maximize available resources.
  • Process and maintain surgery-related documents, forms, and correspondence.
  • Serve as a resource to patients by providing guidance regarding surgical logistics, pre-operative requirements, insurance authorizations, and financial arrangements.
  • Coordinate surgery pre-certifications and obtain necessary approvals from insurance carriers.
  • Collaborate with physicians, clinical staff, and ancillary departments to facilitate a smooth surgical process.
  • Perform other related duties as assigned.
