The Supply Chain & Vendor Compliance Analyst is responsible for coordinating, tracking, and communicating the status of inbound international freight while ensuring the accuracy of merchandise costs and compliance with vendor policies. This role partners closely with vendors, freight forwarders, customs brokers, Private Label Developers, the Buying team, Accounting, Logistics, and Distribution Center teams to support the timely and accurate movement of merchandise. The Supply Chain & Vendor Compliance Analyst also audits cost data, resolves shipping and invoice discrepancies, manages vendor compliance issues, and helps develop processes that improve supply chain efficiency, organization, and accuracy. This position requires strong analytical, communication, and problem-solving skills, along with a high level of attention to detail.

Requirements

  • Strong communication, customer service, time management, and organizational skills.
  • Bachelor’s or Associate degree, or equivalent combination of education and experience, preferred.
  • 1–3 years of experience in a corporate retail environment, preferably within Supply Chain, Planning, Buying, Allocation, Vendor Compliance, or a related function.
  • Strong proficiency in Microsoft Office, particularly Excel; experience with ERP systems preferred.
  • Strong analytical and problem-solving skills with a high degree of attention to detail and accuracy.
  • Strong organizational and multitasking abilities with demonstrated experience managing multiple priorities and deadlines.
  • Ability to work effectively under pressure while maintaining accuracy and quality.
  • Self-motivated with strong initiative and the ability to work independently as well as collaboratively as part of a team.
  • Demonstrated flexibility and adaptability to changing business needs and priorities.
  • Strong written and verbal customer service and communication skills.
  • Knowledge of retail industry standards and practices is a plus.

Responsibilities

  • Coordinate, track, and communicate the status of inbound domestic and international shipments.
  • Partner with Private Label Developers, Buying teams, vendors, freight forwarders, customs brokers, and Distribution Center teams to support the timely delivery and receipt of merchandise.
  • Manage day-to-day relationships and activities with freight forwarders, customs brokers, transportation providers, and other supply chain partners.
  • Coordinate transportation providers to ensure the prompt and accurate movement of shipments.
  • Make special shipping arrangements as needed.
  • Work with warehouse and Distribution Center teams to resolve receiving issues, delivery appointments, and shipping errors.
  • Identify, recommend, and support cost-saving initiatives related to freight, transportation, vendor compliance, inventory management, and supply chain operations.
  • Review domestic and international key performance indicators and identify opportunities for improvement.
  • Run reports in Aptos and provide updates to the appropriate business partners.
  • Process merchandise cost updates using vendor price lists, Microsoft Excel, and the company’s ERP system.
  • Maintain and audit existing merchandise style costs to ensure accuracy.
  • Research and resolve merchandise cost, invoice, and shipping discrepancies in partnership with Accounting, vendors, Buying teams, and other internal partners.
  • Reconcile and approve invoices for payment in a timely manner.
  • Determine and communicate cost corrections to the appropriate Merchandise team partners.
  • Serve as a primary point of contact for vendor compliance issues and partner with stores, Logistics, Distribution Center teams, and vendors to resolve concerns.
  • Educate vendors on company policies, procedures, and compliance expectations.
  • Enforce vendor policies and communicate chargebacks, recurring issues, and compliance trends to vendors and Merchant partners.
  • Maintain accurate and up-to-date documentation related to cost changes, audits, shipments, invoices, chargebacks, and vendor compliance activity.
  • Respond to internal and external inquiries in a timely and professional manner.
  • Build and maintain strong working relationships with vendors and business partners.
  • Support the development and improvement of processes that make the supply chain more efficient, accurate, and organized.
  • Understand evolving business needs and contribute to the development of strategies, operating models, and process improvements.
  • Demonstrate strong verbal and written communication, analytical, organizational, and problem-solving skills.
  • Demonstrate proficiency in Microsoft Excel and PowerPoint.
  • Demonstrate a high level of work quality, attendance, and professional appearance.
  • Demonstrate professionalism in communication, attitude, and teamwork with customers, peers, vendors, and management.
  • Adhere to all local, state, and federal laws, as well as Company policies, procedures, and practices.
  • Perform any other duties that may be assigned by management.
