Location: Duke University Hospital | 2301 Erwin Rd, Durham, NC 27710 Service Line: SCM Admin Schedule: 6:00 AM – 2:30 PM, with alternating weekends Position Overview Perform critical duties in computerized order entry, supply and linen distribution, equipment management, and shipping/receiving of hospital merchandise. The ideal candidate will maintain excellent inventory management processes to meet clinical supply needs with prompt delivery, assuring the accuracy of issues, and ensuring the good working order and availability of equipment.

Requirements

  • High School Diploma or G.E.D. required.
  • Level 1: At least one (1) year of work experience in distribution, warehousing, shipping, receiving, logistics, material handling, customer service, or inventory control.
  • Level 2: At least two (2) years of work experience in the disciplines listed above.
  • A valid Driver's License may be required based on facility needs.
  • Competency in inventory management and demonstrated experience using an ERP system.

Nice To Haves

  • Some college-level coursework is preferred, but not required.
  • Experience in a fast-paced, customer service environment is strongly preferred.

Responsibilities

  • Distribute and restock supplies and/or linen to end users.
  • Use Supply Chain technologies (Pyxis and SAP) to precisely document the movement of supplies.
  • Perform regular cycle counts to ensure the accuracy of stock levels in all areas.
  • Check expiration dates regularly; clearly document and discard expired products.
  • Participate in and perform mid-year and year-end inventory counts.
  • Ensure all STAT orders are completed according to specified Service Level Agreements (SLAs).
  • Accept and sign for deliveries from distributors as necessary.
  • Inspect shipments, enter Goods Receipts into SAP, and file packing slips.
  • Report any identified shipment discrepancies to onsite Supply Chain management.
  • Transport shipments from the loading dock to the stockroom and deliver packages to appropriate purchasers.
  • Move and stock supplies to appropriate shelving locations once receiving is complete.
  • Prepare and ship Vendor Returns, ensuring proper stock rotation in all areas.
  • Deliver non-supply items (e.g., medical gas, linen) in a timely manner.
  • Demonstrate excellent customer service when interacting with end customers to address linen or supply questions.
  • Ensure all Supply Chain work areas and supply storage areas throughout the facility are clean and organized.
  • Proactively provide recommendations on operational efficiency improvements to management.
  • Act as a mentor and preceptor to all Level 1 Supply Chain Associates; act as the back-up Team Lead when necessary.
  • Work and complete all assigned tasks with minimal supervision from the Team Lead and Manager.
  • Deliver, manage, and coordinate supplies and products to off-site clinics and facilities.
  • Demonstrate excellent customer service in high-acuity environments, interacting directly with nursing floors and OR staff (physicians, surgery/Cath Lab techs, and nurses).
  • Oversee consignment inventory and processes, potentially including inventory management for specialized procedural areas.
  • Troubleshoot supply shortage issues and clearly articulate the known clinical impact.
  • Collaborate proactively with other stakeholders to adjust par levels and address slow-moving items based on actual usage.
  • Utilize the ERP system to pull reports, find products, use handheld technologies for delivery/replenishment, and close out daily SAP transactions.
  • Serve as the Subject Matter Expert (SME) for the TIMS module, including receiving and documentation.
  • Pull EPIC and Pyxis reports, analyze the data, and provide appropriate recommendations.
  • Access and utilize Vendormate for vendor management and assist customers in reconciling invoices.
  • Participate in PERT, OR EDIT, and Value Analysis Team (VAT) discussions as assigned.
  • Willingly perform additional job functions necessary to ensure safe patient care practices as directed by Supply Chain management.
  • Remain cross-trained to perform other Supply Chain-related responsibilities when needed.
  • Work cooperatively and communicate effectively with others to achieve organizational and team goals in a computerized environment.
