About The Position

The Maryland-National Capital Park and Planning Commission (M-NCPPC) is seeking a highly motivated, customer service-oriented team player to serve as an Administrative Assistant II within the Department of Human Resources and Management (DHRM), supporting the Office of Supplier Diversity and Inclusion. Under the direction of the Supplier Diversity and Inclusion Chief, the successful candidate will provide administrative, operational, and customer service support to ensure the efficient day-to-day functioning of the office and its supplier diversity programs. This position serves as a key point of contact for internal staff, vendors, contractors, and external stakeholders by providing administrative support, coordinating communications, scheduling meetings and events, maintaining records, and assisting with program-related activities. The Administrative Assistant II plays an important role in supporting initiatives related to the Commission’s Small Local Business Enterprise Program (SLBEP), Minority Business Enterprise (MBE) Program, and other supplier diversity efforts. The successful candidate will contribute to process improvements, assist with special projects, and support office initiatives that strengthen supplier diversity and inclusion efforts across the Commission. Through strong organization, communication, and customer service, this role helps advance the Commission’s commitment to equitable economic opportunities for small, local, and minority-owned businesses.

Requirements

  • Ability to establish and maintain effective working relationships with diverse internal and external stakeholders
  • Excellent organizational and time-management skills with strong attention to detail and accuracy
  • Experience using databases, record management systems
  • Strong proficiency in Microsoft Office applications
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Experience providing administrative and logistical support for meetings, events, and training activities
  • High school diploma or a Certificate of General Educational Development (GED)
  • Two (2) years of progressively responsible experience in administrative support and clerical work or customer service that typically involves performance of a range of general office support functions
  • An equivalent combination of education and experience may be substituted, which together total 2 years

Responsibilities

  • Preparing correspondence, reports, presentations, and meeting materials
  • Maintaining electronic and physical filing systems
  • Managing calendars and scheduling appointments
  • Coordinating outreach events and training sessions
  • Processing invoices, purchase requests, and other administrative documentation
  • Supporting data entry and report generation
  • Assisting with vendor inquiries
  • Tracking program documentation
  • Maintaining databases and records
  • Supporting stakeholder communications
  • Ensuring timely follow-up on assignments and requests
  • Working closely with Procurement, Project Managers, Contract Administrators, vendors, and community partners to help support program operations and enhance service delivery
  • Contributing to process improvements
  • Assisting with special projects
  • Supporting office initiatives that strengthen supplier diversity and inclusion efforts across the Commission
