About The Position

Provides day-to-day guidance and supervision to administrative staff. In addition, maintains office services by organizing office operations and procedures; approving employee time; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions for all departments within designated area. Coordinates administrative and support functions of one or more executives and management personnel. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. Completes operational requirements by scheduling and assigning employees; following up on work results. Supervises administrative staff by recruiting, selecting, orienting and training employees. Maintains office staff job results by coaching, counseling and disciplining employees; planning, monitoring and appraising job results. Prepares administrative budgets and participates in development of operational and administrative policies. Performs as a project manager for departmental projects and organizational changes. Acts as a liaison to all departmental management and prioritizes work activities throughout the department. Advises on organizational best practices for internal resource coordination. Delivers corrective feedback in a manner that inspires accountability and self-redirection. Coaches others on operating personnel management systems and their processes. Manages conflict and competition between teams and across organizational lines. Consults on a full spectrum of enterprise office administration activities. Organizes and coordinates large meetings and conferences. Monitors effectiveness of support staff; recommends improvements. Contributes to office administration improvements and best practices. Demonstrates the ability to maintain confidentiality and exercise appropriate judgment. Possesses excellent organizational skills, including attention to detail and thorough follow-up. Demonstrates the ability to successfully handle multiple priorities. Exhibits computer competence, including knowledge of and experience using Word, Excel, Power Point, etc.; accurate typing skills, and the ability to use general office machines.

Requirements

  • Bachelor’s degree in business, business administration or a minimum of six years’ related experience required.
  • Demonstrated ability to maintain confidentiality and exercise appropriate judgment.
  • Excellent organizational skills, including attention to detail and thorough follow-up is required.
  • Demonstrated ability to successfully handle multiple priorities.
  • Demonstrated computer competence, including knowledge of and experience using Word, Excel, Power Point, etc.; accurate typing skills, and ability to use general office machines.
