About The Position

The Supervisor of Linen Services and Mail/Courier Services is responsible for the daily supervision of the Linen Services Department at Hackensack University Medical Center (HUMC) at Hackensack Meridian Health (HMH). Maintains control over the Medical Center Linen inventory including storage, replenishment, and coordination of the third-party vendor processes. Responsible for the Mailroom department including the supervision, daily operations, and related managerial tasks of that department.

Requirements

  • Associate's degree, or the equivalent of sixty (60) or more credits towards a Bachelor's degree to be completed within three (3) years of hire.
  • Minimum of 5 years of management experience in mailroom, linen, or hospitality fields.
  • Excellent written and verbal communication skills.
  • Strong computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.
  • Ability to multi-task operational priorities.
  • Reads and writes in the English language.

Responsibilities

  • Monitors linen quantity and quality and assures compliance with established standards.
  • Conducts hospital-wide rounds in areas of responsibility, paying particular attention to linen quality, carts, storage, linen usage, and abuse; ensures full compliance with standards of laundry and linen standards within all departments or units.
  • Directs and supervises all staff work activities in areas of responsibility; assigns and schedules all special projects as needed.
  • Reviews the staffing levels to ensure adequate staffing coverage for all shifts.
  • Confirms implementation of the linen replenishment system by reviewing staff usage, data input, and system reporting to coordinate the continuous quality improvement of linen supply management.
  • Monitors and addresses any events regarding improper supply utilization in units or departments.
  • Coordinates scheduled deliveries to all Medical Center departments located on and off campus as well as the additional linen requests made throughout the day. Analyzes how services can be changed to avoid additional requests or to change par levels.
  • Reviews and revises job descriptions and/or job assignments as needed to support effective daily operations and makes adjustments accordingly.
  • Conducts audit reviews of outsourced laundry processes, staff, and service timeframes to assure compliance with regulatory issues and Infection Control requirements.
  • Conducts an annual linen inventory of par replenishments for all units, departments and other users.
  • Prepares statistical data analysis regarding linen usage, weights, staff productivity, Scrubex machines, and any other miscellaneous reports.
  • Orders linen replenishment or cutbacks based on standard availability of linen. Coordinates and anticipates future events that may negatively impact linen inventory including disaster, weather events, or internal codes.
  • Reviews, revises, and/or develops department-specific policies and procedures.
  • Responsible for composing and maintaining various internal Linen and /or Mailroom departmental reports for the Operations Manager.
  • Performs regular rounds on the floors and departments with department heads and nurse managers to assess and address any issues, speak about staff, and look for opportunities to improve daily operations on both ends. The vendor should be present intermittently on the same rounds.
  • Supervises, schedules, evaluates, and conducts payroll of all Linen & Mail/Courier operations and staff.
  • Has complete responsibility for Linen Services which is a 24/7 operation and Mailroom/Courier services whose hours are typically Monday to Friday 7:00 AM to 6:00 PM.
  • Supports and contributes to continuous quality improvement regarding Linen, Mail, or Courier services by identifying and correcting ineffective processes and preparing reports to assure operational effectiveness.
  • Reviews and approves all outside courier runs to service off-campus locations.
  • Coordinates stat deliveries to various Medical Center departments and related activities, including deliveries to the Board of Governors.
  • Coordinates deliveries of outside services such as Federal Express, and acts as liaison to handle FedEx alerts or billing concerns.
  • Reviews cell phone, mileage, and productivity for all drivers.
  • Conducts audit reviews of mail processing services and courier runs.
  • Coordinates and implements EZ pass accounts, billing, violations, and tags for all HUMC vehicles.
  • Processes all vehicle insurance, registration, EZ pass, and plates for all new or current HUMC vehicles.
  • Reviews, communicates and processes all traffic or moving violations reported to the medical center.
  • Acts as contact for Chubb insurance claims through Risk Management and provides defensive driving education to new drivers at the medical center.
  • Oversees Optifreight and Fuelman account/invoices with Purchasing to ensure proper distribution of department fuel costs.
  • Monitors mailroom postage requests and ensures postage by phone is submitted to allow timely mailings to be uninterrupted in delivery.
  • Organizes internal pickups for special events from the Foundation, Human Resources, or other departments that have promotional or charitable function responsibilities.
  • Regulates and reviews all specimen logs and reports to provide timely delivery of samples. This process must be adhered to by the department at all times to confirm the safe delivery of urgent specimens.
