About The Position

Provides supervision of front and back-office staff in the Women’s and Children’s outpatient clinics. Supports department management with the daily oversight of the office operations. Responsible for the day-to-day staffing and scheduling operations for front and back-office staff in the clinics. Intervenes as necessary to redirect, guide or counsel staff in the delivery of patient care services. Ensures direct care of patients is conducted within established standards of care, hospital and unit policies, procedures, and guidelines.

Requirements

  • Associate degree or equivalent combination of education and experience.
  • 2 years of increasingly responsible operations experience in a health care setting, preferably in a medical clinic.
  • Current Healthcare Provider BLS cert by date of hire
  • Excellent interpersonal and communication skills and ability to build collaborative relationships to enhance outcomes
  • Strong customer service and problem resolution skills; strong critical thinking skills
  • Good organizational and time management skills

Nice To Haves

  • Current WA State Medical Assistant Certification.
  • Current national certification through the American Association of Medical Assistants (AAMA), American Medical Technologist (AMT), National Healthcareer Association (NHA), or National Center for Competency Testing (NCCT).
  • Background in A/R, A/P, General Ledger, and preparation of financial statements
  • Proficient with medical terminology

Responsibilities

  • Assists with achieving budgeted expenses on a monthly and annual basis.
  • On an annual basis, may assist with development the office revenue, expense, and capital budgets within EvergreenHealth guidelines.
  • Ensures the office and personnel are following EvergreenHealth policies.
  • Ensures operation is in regulatory compliance with all governing agencies or bodies (OSHA, J C, Medicare, HIPAA etc.).
  • May be responsible for the timeliness, accuracy, and security of the patient medical record within the office.
  • May be responsible for ensuring training of staff in proper PMSI use and newly implemented EMR processes and procedures.
  • Trains and monitors staff in all applications used in ambulatory outpatient clinics and EMR processes and procedures and updates.
  • Responsible for creating and updating clinic policies.
  • Responsible for addressing patient complaints in patient satisfaction scores daily.
  • Provides oversight of office/business unit activities and communicates issues in a timely fashion to department management.
  • Addresses all billing and coding issues and assists department management in remediation.
  • Oversees medication reconciliation, medical supply ordering and various checklists.
  • Reviews and updates health maintenance and administers medications as appropriate per scope of clinical certification or license.
  • Responsible for medication management within the clinic.
  • Implements and monitors the clinic care protocols.
  • Effectively communicates all relevant information (e.g., patient information, safety issues, problems with equipment, quality issues, etc.) to immediate supervisor.
  • Works in collaboration for the development of continuous quality improvement culture and follows through of projects from design through completion, learning and next steps, in conjunction with department management and others as appropriate.
  • Responsible for completing timely reports for quality control, audits, and JCAHO compliance for clinic best practice.
  • Performs other duties as assigned.
