The Medical Clinic Supervisor reports to the Medical Clinic Manager and oversees the Medical Clinic operations and personnel to ensure the workflows runs smoothly. The Medical Clinic Supervisor provides supervisory support for medical assistants including ensuring adequate staffing levels and training, providing performance feedback as needed, monitoring time keeping activities and staff schedules, and monitoring daily medical assistant functions. The Medical Clinic Supervisor is responsible for all vaccine management activities including training staff and acts as a backup Medical Assistant in a fast pace Primary Care setting during heavy clinic flow and/or Medical Assistant absences and scheduled staff time off. The Medical Clinic Supervisor ensures that patients receive excellent customer service and competent care within the scope of practice of their role. This role ensures the success of daily back-office operations including staffing, patient flow, visit productivity, EHR documentation, and the overall patient experience. They also ensure opening and closing procedures are followed and documented, and that clinic and laboratory equipment is maintained in accordance with city, county, state, and federal regulations. The supervisor works with clinical staff to ensure follow-up telephone calls to the patient are completed and logged, and supports the clinic in meeting regulations and requirements for various programs including VFC, VFA, HEDIS, OSHA, Medi-Cal, FamPact, EWC, Medicare, HRSA, PCMH, and AAAHC. They engage in problem-solving for clinic scheduling and patient wait times, coordinate and participate in new workflow implementations, manage inventory and ordering of medical supplies, monitor vaccine temperatures, and conduct monthly vaccine inventories and orders. The supervisor processes patient care inquiries and complaints, maintains a positive teamwork environment, assists with health screenings and grant objectives, reports incidences, monitors daily huddles, ensures staff skills are up to date, conducts meetings and trainings, and fills in for staff or the Medical Clinic Manager when necessary. They collaborate with leadership to align clinic objectives with the organization's mission and accreditation standards, actively participate in quality improvement, and ensure direct reports adhere to policies and regulations including HIPAA.
