About The Position

The Supervisor of Diagnostic Scheduling coordinates the daily functions of diagnostic and/or point of service schedulers, ensuring accuracy in scheduling outpatient laboratory, imaging, and/or interventional procedures to avoid conflicts with resources and staff. The role involves providing support through task assignment, work schedule coordination, training, and coaching the scheduling team. The Supervisor will also schedule appointments, conduct quality audits of workflow processes, maintain appropriate staffing levels based on volume analysis and clinical needs, and monitor daily productivity, reallocating duties as necessary. Key responsibilities include ensuring the accuracy and competency of scheduler productivity, proper collection of patient information, and correct communication with physician offices regarding patient preparation. The Supervisor will participate in scheduling application upgrades and transitions, interact with hospital partners and patients with a patient-centered attitude, and demonstrate compassion and empathy. Travel to campus and off-campus locations may be required, as well as availability to work outside normal business hours. This role is part of a team supporting UT Southwestern operations and initiatives.

Requirements

  • Bachelor's Degree
  • 3 years of experience in hospital outpatient, diagnostic or clinic scheduling (in lieu of bachelor's degree)
  • CERT HEALTHCARE ACCESS ASSOC (CHAA) NAHAM within 1 Year
  • NATL ASSOC HLTHCARE ACCESS MGT Associate Membership within 1 Year

Responsibilities

  • Coordinates daily functions of diagnostic and/or point of service schedulers.
  • Ensures accuracy in scheduling to avoid conflicts with resources and staff.
  • Provides support by assigning tasks, coordinating work schedules, training, and coaching the Scheduling team.
  • Schedules appointments and supports Department leadership by performing quality audits of workflow processes.
  • Maintains appropriate staffing levels based on historical volume analysis and clinical needs.
  • Monitors daily productivity and reallocates duties as needed.
  • Assists in the accuracy and competency of scheduler productivity in accordance with established protocols.
  • Ensures proper collection of required patient information.
  • Ensures correct communications with ordering physician offices and patient preparation instructions.
  • Attends meetings and participates with any scheduling application upgrades and/or transitions.
  • Directly interacts with various hospital partners and patients on all levels while maintaining a patient-centered attitude.
  • Demonstrates compassion and empathy for patients and their families and encourages the same from the staff.
  • May be required to travel to both campus and off-campus locations.
  • Maintains a readiness to work outside of normal business hours to meet the needs of the department or service locations.
  • Provides supervision, direction, development, and guidance to staff.
  • Effectively delegates and holds staff accountable.
  • Maintains a proactive approach with addressing/implementing changes impacting department processes.
  • Interviews, selects, and trains employees.
  • Completes performance evaluations and provides disciplinary actions as needed.
  • Supervises operations effectively, takes accountability, solves problems, and implements solutions.
  • Integrates financial understanding into solutions and demonstrates technical proficiency.
  • Acts with urgency to address issues and anticipates customer needs.
  • Articulates views clearly and directly, listens attentively to others, and communicates issues affecting staff quickly.
  • Maintains department productivity and quality standards.
  • Supports goals and objectives; designs, implements, and evaluates policies and procedures for department operations.
  • Oversees department schedule, time and attendance issues, assuring staff coverage for all shifts.
  • Generates, distributes, and maintains relevant department reports to assist management with tracking performance indicators.
  • Assures that quality assurance monitoring is conducted on data produced by department staff, assuring accuracy, thoroughness, and compliance.
  • Tracks, trends, and edits reports for completeness and identifies areas for continued performance improvement.
  • Performs other duties as assigned.
