About The Position

Under the direction of the Dean of Health Sciences and Director, Nursing Programs, the Supervisor, Clinical Placement supports the coordination, scheduling, and administration of clinical placement activities for nursing and allied health programs at Pasadena City College. The position serves as a key liaison between the District and affiliated clinical sites, including hospitals, long-term care facilities, outpatient clinics, and other healthcare partners, to establish, maintain, and monitor agreements that support safe, educationally sound, and legally compliant student clinical experiences.

Requirements

  • Bachelor's degree in Nursing, Health Sciences, Healthcare Administration, Education, or a closely related field.
  • Three (3) years of administrative experience in healthcare, student services, or a related field.
  • Including at least one (1) year of lead or supervisory experience.
  • Valid California driver's license and ability to travel to affiliated clinical sites as needed.
  • Knowledge of nursing and allied health clinical training requirements, including those governing student placement, supervision ratios, and learning environment standards under California BRN and BVNPT regulations.
  • Knowledge of Affiliation Agreement and Clinical Training Agreement structures, terms, and institutional requirements for initiating, maintaining, and renewing site partnerships.
  • Knowledge of federal and state privacy regulations applicable to student health records and clinical site compliance documentation, including HIPAA and FERPA.
  • Ability to manage multiple concurrent clinical placement cycles, track compliance deadlines, and maintain organized, auditable records across a large student population.
  • Ability to communicate clearly and professionally with a diverse range of stakeholders, including clinical site supervisors, healthcare administrators, faculty, and students.
  • Skill in operating database and records management systems; proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with student information systems such as Banner, PeopleSoft, or equivalent platforms.
  • Ability to interpret regulatory standards, accreditation requirements, and institutional policies and translate them into clear, actionable procedures and student-facing communications.
  • Ability to identify compliance gaps, resolve scheduling conflicts, and escalate clinical site concerns to appropriate faculty and administrators in a timely and professional manner.
  • Capacity to work collaboratively in a shared governance environment and support the goals of an equity-focused community college committed to student access and success.
  • Demonstrated experience working with communities who have been traditionally underserved by higher education and experience in the pedagogy reflecting intersections of race, culture, class, ethnic, and queer communities.
  • Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator and to operate standard office equipment.
  • Positions in this classification may occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information.
  • Employees must possess the ability to lift, carry, push, and pull materials and objects up to 25 pounds.
  • This role may require some travel to clinical facilities for onsite meetings and necessary orientations and onboarding.

  • Possession of a valid Licensed Vocational Nurse (LVN) license issued by the California Board of Vocational Nursing and Psychiatric Technicians (BVNPT) OR Bachelor of Science in Nursing (BSN) with eligibility for or possession of a valid Registered Nurse (RN) license issued by the California Board of Registered Nursing (BRN).

Responsibilities

  • Coordinates and manages all aspects of clinical placement for nursing and allied health students, including site identification, rotation scheduling, assignment logistics, and confirmation of placement capacity with affiliated healthcare facilities; serves as the day-to-day operational point of contact for clinical site coordinators and nursing education staff.
  • Serves as the primary institutional liaison between Pasadena City College and affiliated clinical partner organizations, including acute care hospitals, skilled nursing facilities, outpatient clinics, and specialty care centers, to develop, renew, and monitor Affiliation Agreements and Clinical Training Agreements in compliance with district policy, accreditation requirements, and state regulations.
  • Oversees the tracking and verification of student compliance with all clinical site prerequisites, including immunization records, health clearances, background check results, drug screening documentation, CPR/BLS certification, and required site-specific orientation or training modules; maintains accurate and current compliance records for each student and ensures no student is placed at a site without fully meeting all documented requirements.
  • Communicates regularly with clinical faculty and program directors regarding student placement status, site capacity, scheduling conflicts, and emerging issues at clinical sites; escalates concerns related to student or patient safety, unprofessional conduct, or site non-compliance to the appropriate administrator in a timely manner.
  • Maintains a comprehensive database of clinical site affiliations, agreement expiration dates, contact information, capacity data, and site evaluation outcomes; generates reports on placement activity, compliance status, and agreement renewal timelines to support program planning and accreditation self-study documentation.
  • Supports faculty with orientation of students to clinical placement procedures and requirements prior to rotation start dates; prepares and distributes student clinical handbooks, site-specific requirement checklists, and instructional materials that support informed, prepared, and compliant clinical experiences.
  • Directly manages all aspects of employee lifecycle including recruitment, transfers, suspensions, layoffs, recalls, promotions, terminations, task assignments, performance evaluations, rewards, disciplinary actions, and grievance resolution, ensuring adherence to District policies and legal requirements.
  • Coordinates with clinical site staff and District faculty and administration when necessary to schedule and facilitate site visits, evaluate clinical learning environments, and ensure alignment between student assignments and curricular objectives required by the applicable nursing or allied health program.
  • Coordinates the preparation of reports and supporting documentation required for accreditation reviews, program approval renewals, and state regulatory submissions, including those filed with the California Board of Registered Nursing (BRN) or Board of Vocational Nursing and Psychiatric Technicians (BVNPT).
  • Monitors changes in clinical site policies, healthcare regulations, and accreditation standards that may affect placement practices; informs program directors and faculty of relevant updates and assists in implementing necessary adjustments to placement procedures or student requirements.
  • Processes and maintains confidential student health and clearance records in accordance with applicable privacy laws, including HIPAA, FERPA, and district policies governing the retention and security of sensitive information.
  • Participates in departmental and division meetings, professional development activities, and committees as assigned; may serve as a resource on clinical placement practices for district-wide health sciences planning efforts.
