About The Position

The New Jersey Judiciary is seeking a highly motivated, goal-oriented professional with strong collaborative leadership skills, excellent organizational, interpersonal, and customer service skills to join the Supreme Court Clerk’s Office. This role involves direct supervision of an administrative specialist and clerical support staff within the Board of Bar Examiners (Bar Admissions Unit). The primary responsibilities include managing case files for various bar admission application types, handling ancillary attorney and bar applicant services, and working under the general direction of the Executive Manager of the Board of Bar Examiners and Committee on Character. Requirements

  • Graduation from an accredited college or university with a bachelor's degree and three years of paraprofical and/or professional experience, one year of which shall have included experience in development, coordination, analysis, implementation, administration or research.
  • Applicants who do not possess the required education may substitute additional paraprofessional and/or professional experience on a year-for-year basis with one year of such experience being equal to 30 semester hour credits.
  • An associate degree from an accredited college or university and two years of additional paraprofessional and/or professional experience may be substituted for a bachelor’s degree.
  • A master’s degree from an accredited college or university may be substituted for one year of general experience as indicated above.
  • A law degree from an approved American Bar Association law school may be substituted for two years of general experience as indicated above.
  • Degrees conferred outside of the United States must be evaluated by a recognized evaluation service.
  • US citizenship is not required.
  • Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.
  • Newly hired employees must agree to a thorough background check that will include fingerprinting.
  • In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey.

Responsibilities

  • Make decisions related to personnel actions, such as recruitments, selections, transfers, and/or discipline.
  • Develop and implement unit and staff goals.
  • Evaluate unit and staff performance in accordance with expectations and goals.
  • Provide training and procedural guidance to staff to ensure proficiency and quality performance in their areas of responsibility.
  • Direct and oversee the day-to-day operations of the Bar Admission Unit, particularly case file management for multiple bar application types; fulfillment of varied attorney and applicant fee-based requests received via mail, on-line, and in-person (e.g., certificates of good standing or alternative attorney status documents; wall licenses; record copies); customer service through phone, email, virtual, and in-person; fee processing including deposit reporting and reconciliations; and collaboration with the Committee on Character staff and other internal and external stakeholders to further process applications and/or resolve related issues.
  • Monitor and facilitate handling of recommendations received from external medical consultancy on requested non-standard testing accommodation(s) (covered by ADA Title II) from bar examination applicants to ensure proper and timely completion; review and finalize detailed draft grant or deny letters.
  • Monitor and facilitate processing of attorney resignation requests and associated internal and external notices, In-House Counsel profile and status update requests, and petitions filed with the Supreme Court for relaxation of bar admission rules and reinstatement of administratively revoked licenses to ensure proper and timely completion; make preliminary recommendations for limited petition types and assist in resolving deficiencies to facilitate the Court’s determination.
  • Review and approve or deny applicants’ request for pre-approval of prior legal practice and/or ethics and professionalism coursework relative to established standards for qualification.
  • Lead and coordinate project work such as preparing for and administering two offsite bar exams (held annually at multiple locations), assisting with Board member appointments; verification of quarterly expenses; reporting of fee income and other statistical information; assisting with fulfillment of internal and external auditor requests; and developing, implementing, and documenting efficient operating policies and procedures.
  • Handle limited bar application caseload including complex applications, as assigned.
  • Work collaboratively with staff throughout the Supreme Court Clerk’s Office including the Committee on Character, internal judiciary service providers such as Banking and Cash Management, Information Technology Office (ITO), and with external vendors as needed, to facilitate the operational needs of the Bar Admissions Unit and resolve issues escalated by staff.
  • Perform other related duties, as required.
  • Regular and predictable physical presence at the worksite is an essential function of this position.
