About The Position

The summer student will complete the following activities under supervision from the Joliet technical group and/or Innovation: 1. Inventory and review archives Review selected physical files and existing digital folders from Joliet and Toronto labs Identify document types, duplicates, and priority content 2. Digitization and conversion Scan paper documents as needed Convert files into usable formats (e.g., searchable PDF via OCR, and/or other required formats) Apply basic quality checks (legibility, completeness, correct orientation) 3. Upload and organization in Presto Upload documents into Presto following established folder structures and naming conventions Ensure version control and prevent duplication where possible 4. Standardized metadata application Apply consistent metadata fields (e.g., lab/site, date, product/customer where appropriate, report type, author/owner, keywords/tags, confidentiality category if applicable) Follow a defined metadata standard to improve searchability and downstream AI usability 5. Dataset readiness for AI enablement Support the creation of a structured dataset suitable for AI model training and internal retrieval tools by ensuring files are complete, well-labeled, and consistently formatted Document the process and recommendations (standards, workflow improvements, lessons learned)

Requirements

  • Currently enrolled in a college or university program (e.g., Information Management, Library/Archives, Data/IT, Engineering, Business Administration, or related field) and available to work full-time during the summer term.
  • Strong attention to detail and ability to follow standardized processes for file naming, folder structures, and version control.
  • Basic proficiency with Microsoft 365 (Outlook, Excel, Word) and comfort working within shared network folders.
  • Ability to scan, convert, and quality-check documents (legibility, completeness, orientation) with willingness to learn OCR and document conversion tools.
  • Demonstrated ability to organize information and apply consistent classification/metadata to improve searchability.
  • Capable of handling confidential or sensitive information professionally and in accordance with company requirements.
  • Strong communication skills and ability to document progress, issues, and recommendations.
  • Reliable, self-directed work habits; able to manage tasks under supervision while meeting deadlines.
