About The Position

The Substitute - Clerical/Administrative position provides essential clerical support to assigned personnel, ensuring smooth office operations. This role involves communicating information to staff and the public, maintaining accurate records, and responding to inquiries. The position reports to the Principal or Vice Principal.

Requirements

  • Basic first aid administration.
  • Ability to distribute medication under physician's orders and within legal guidelines.

  • Skill in obtaining and verifying attendance records.
  • Proficiency in general clerical functions including scheduling, copying, faxing, data entry, and filing.
  • Experience preparing and maintaining manual and electronic documents and records.
  • Ability to present information on administrative procedures.
  • Skills in procuring and distributing supplies.
  • Ability to respond to a wide variety of inquiries.
  • Capacity to support teachers and school personnel.
  • Troubleshooting skills for office equipment.
  • Ability to verify student-related data.
  • Willingness to attend meetings as required.
  • Ability to perform other related duties as assigned.

Responsibilities

  • Administering basic first aid and distributing prescription medication under physician's orders and within legal guidelines.
  • Answering telephone calls, screening calls, transferring calls, responding to inquiries, and taking messages.
  • Collecting payments for various school events such as fines, fees, field trips, and fundraisers.
  • Compiling data from various sources to prepare reports, make recommendations, and provide information to administrators.
  • Completing enrollment and withdrawal activities.
  • Coordinating assigned projects and program components like picture day, student assemblies, volunteer paperwork, and fire drills.
  • Distributing items within the school site, including mail, packages, messages, and notes.
  • Greeting visitors, parents, students, and vendors, responding to inquiries, and directing them appropriately.
  • Maintaining the automated student attendance system for accurate tracking.
  • Monitoring students for illness or disciplinary action to ensure welfare and a secure environment.
  • Obtaining attendance records for student entry and exit during school hours.
  • Performing general clerical functions such as scheduling, copying, faxing, data entry, and filing.
  • Preparing and maintaining manual and electronic documents, files, and records.
  • Presenting information on administrative procedures to orient new personnel and disseminate information.
  • Procuring and distributing supplies and materials.
  • Responding to inquiries from parents, teachers, vendors, and staff.
  • Supporting classroom teachers and other school personnel.
  • Troubleshooting equipment malfunctions and referring for repair services.
  • Verifying student-related data for accuracy.
  • Attending meetings as required.
  • Performing other related duties as assigned.
