About The Position

The University of Illinois Chicago (UIC) is seeking a Study Abroad Assistant Director within the VP for Global Engagement department. This role is responsible for advising, administering, and implementing study abroad exchange, partnership, and direct enroll programs for a regional advising portfolio. The position also serves as a college liaison to expand faculty-directed study abroad programs by collaborating with faculty on proposals, sourcing and negotiating with partners, managing agreements and budgets, and planning logistics. The Assistant Director will coordinate with international university partners and academic consortia on costs, student affairs, and curricula, and assist with safety and risk management planning. Additionally, this role will be a departmental point person for key areas such as marketing/outreach, student financial aid/scholarships, or pre-departure and re-entry services.

Requirements

  • Bachelor's degree in any course of study.
  • Three (3) years (36 months) of professional work experience comparable to that performed at the Study Abroad Advisor level or in other positions of comparable responsibility.

  • Ability to communicate information and ideas effectively so others will understand; ability to engage in public speaking.
  • Ability to communicate effectively in writing as appropriate for the needs of the audience, so others will understand (e.g., writing grants, reports, etc.).
  • Knowledge of business and management principles involved in the presentation and delivery of academic programs, strategic planning, resource allocation, leadership techniques, recruitment methods, and coordination of people and resources.
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Proficient in Microsoft Office products.

Responsibilities

  • Provide counseling to students regarding study abroad options, academic programs, services, and educational issues, including the application process, course and program planning, scheduling, registration, study habits, career planning, and adjustment to school.
  • Assist students who want to participate in study abroad programs (exchanges, affiliates, consortia) and those seeking national scholarships.
  • Counsel students, parents, or guardians on study abroad academic program planning, conferring with administrators and professionals to discuss student progress, resolve academic and other problems, and determine student priorities and resource needs.
  • Provide counseling to and/or assist departmental advisors and chairs in course articulation and academic planning.
  • Assist academic units in integrating study abroad into existing majors, minors, and academic programs.
  • Oversee study abroad services, including assisting in policy and procedure design and development to enhance program quality.
  • Assist with campus-wide promotion of study abroad programs, including recruitment, student selection, financial management, and logistical services for international exchanges, summer travel-study, international grants and scholarships, and international opportunities programs through various channels like the website, presentations, meetings, fairs, and brochure development.
  • Maintain contact with academic departments, chairs, faculty, and academic advisors to keep them informed and involved in offering appropriate study abroad opportunities.
  • Conduct visits to study abroad program sites to evaluate programs (academics, student affairs, safety/risk management) and recommend improvements or expansion.
  • Research and analyze data on study abroad trends, student destinations, program content, and costs relative to campus curricula to create an appropriate institutional portfolio.
  • Facilitate faculty-directed short-term study abroad programs, providing logistical support and collaborating with faculty to develop new programs.
  • Oversee all study abroad opportunities and affiliations, nurturing potential new sites and maintaining/updating a list of institutions, ensuring implementing agreements are reviewed and revised.
  • Develop, process, and monitor affiliation agreements with international education institutions, partners, and consortia.
  • Ensure institutional compliance with safety, risk, and liability guidelines for study abroad programs and participate in coverage of a 24/7 emergency phone.
  • Research and analyze study abroad program expenditures to assist in creating program budgets and coordinate with other campus offices in recommending relevant study abroad scholarship and grant awards.
  • Perform other related duties, including duties of lower-level positions in this series, and participate in special projects as assigned.
