About The Position

Coordinates administrative and operational functions for the student services team, which includes Multilingual Education, Assessment, Multi-Tiered Systems of Support, Wellness, Prevention, and relationships with Community Partners.

Requirements

  • High school diploma or equivalent.
  • 1-year post-secondary secretarial training in written communication, office management, accounting, and specialized technology courses or 2+ years related secretarial or related technology experience, including accounting experience.
  • Effective communication and interpersonal skills in English and Spanish.
  • Effective organizational, time management and problem-solving skills.
  • Computer skills: software management applications, technical troubleshooting skills and system analysis.
  • Proficient in Microsoft Office and on the Google Platform (Google docs, sheets, forms, etc.).
  • Successful experience working with confidential information in an office setting.

Responsibilities

  • Perform general secretarial duties (i.e. filing, typing, keyboarding, scheduling, office management, invoicing, printings, mailings, generate certificates, and other routine office procedures) as directed by the Student Services Team.
  • Assist with ongoing general fund and grant budget expenditures and adjustments for the department.
  • Maintain payroll, attendance records, extra duty stipends, and Change of Status forms using various district software programs and meeting district completion deadlines.
  • Coordinate, plan, and provide logistical support for the Student Services meetings and travel.
  • Coordinate, plan, and provide logistical support for professional learning opportunities sponsored by the Student Services Team, including, but not limited to: confirming consultants, training times, locations, equipment needed, registration, attendance, food (snack, coffee, meal) purchasing/organizing/ set-up/clean-up and meeting arrangements.
  • Process purchase orders and building purchasing card statements and journal entries including vendor contact for ordering and purchase order inquiries and pay invoices.
  • Process and inventory materials as they are delivered.
  • Update and review information in district databases, including data entry, rostering student accounts, and teacher accounts.
  • Add students to the testing platform, follow up with teachers to ensure test results and other pertinent records are uploaded to Educlimber and PowerSchool in a timely manner.
  • Maintain the Home School records.
  • Support identification of students for the McKinney Vento Program, contact families, connect supports, and maintain proper documentation.
  • Support the district Truancy System administration including organizing documentation, court summons and parent communication.
  • Support the District Assessment Coordinator with assessment data management and coordinate delivery of secure materials.
  • Effectively communicate with teachers and parents of students via phone or email in English or Spanish to complete forms and applications.
  • Maintain a high level of confidentiality in accordance with law and district rules.
  • Perform other duties as assigned.
