About The Position

The Student Services Specialist will assist in the planning of Charis student events at the Woodland Park campus. This position will assist in the success of these events by scheduling event meetings with stakeholders, maintaining meeting and event-related documents, reviewing marketing assets and websites, following up on action items, monitoring and reporting on event progress, and providing onsite event oversight and support. The Student Services Specialist will also support the Student Services area by providing customer service to Charis students, staff, and guests. This role will handle inbound phone and email communications, create and resolve tickets, and update student records utilizing internal systems.

Requirements

  • Must have a personal relationship with Jesus Christ
  • Must sign the Statement of Faith
  • A high school diploma or equivalent education is required
  • A minimum of 2 years of administrative experience is required

Nice To Haves

  • A Charis Bible College graduate is preferred
  • An associate's degree or equivalent is preferred
  • Experience using project management software (Monday.com) is preferred
  • Experience overseeing teams or projects is preferred

Responsibilities

  • Schedule event meetings with key stakeholders to discuss event goals, tasks, and deadlines
  • Effectively communicate event statuses and updates to project timelines and risks with Leadership
  • Track and monitor the progress of Charis student events, ensuring task completion within project deadlines
  • Review the previous year’s debrief document, noting any event gaps, and propose an improvement plan
  • Review event-related marketing assets, videos, websites, etc., and propose revisions as needed
  • Provide onsite oversight and support of Charis student events to ensure the event is executed according to plan
  • Create and compile debrief documents upon event completion
  • Manage event project trackers, systems, files, and documents to ensure accurate, up-to-date information
  • Gain a working knowledge of and utilize all Student Helpdesk systems, Learning Management System (LMS), Student Information System (SIS), Customer Relationship Management (CRM), and any other applicable Charis system
  • Update student records in a timely and accurate manner
  • Handle inbound phone calls, emails, and other means of communication from students, staff, and guests, and ensure those requests are routed to the appropriate department and/or resolved in a timely manner
  • Create, update, respond to, and close student tickets
  • Maintains compliance and confidentiality with institutional policies regarding student records and communications
  • Perform general administrative and office duties within the student services department
  • Attend team and department meetings
  • Other duties as assigned
