About The Position

The College of Medicine Dean’s office is recruiting for a Year 4 Student Services Program Coordinator. This role serves as a key administrative support for various aspects of the Year 4 medical school curriculum, including committees, core rotations, and specific programs designed to prepare students for residency. The coordinator will manage logistics, communication, record-keeping, and support for course directors and students.

Responsibilities

  • Serve as Coordinator for the Selectives and Electives Committee (SEC), providing comprehensive administrative support, scheduling meetings, preparing agendas, coordinating logistics, recording minutes, and tracking action items.
  • Assist with the review and processing of new selective and elective course proposals and maintain accurate records of approved offerings.
  • Coordinate core aspects of the required Critical Care rotation, including student orientation, communication, POCUS probe management, RCE log tracking, and administrative support for the course director.
  • Coordinate core aspects of the required Sub-Internship rotation, including student orientation, communication, RCE log tracking, and administrative support for the course director.
  • Coordinate all aspects of the Intern 101 Program, serving as the primary coordinator, collaborating on schedule and curriculum, managing logistical aspects, communicating with students and faculty, providing on-site support, collecting evaluations, and tracking attendance.
  • Coordinate all aspects of the required Geriatric Medicine course, including administrative planning, student communication, administrative support for the course director, and maintaining the learning management system course page.
  • Coordinate Key Components of Year 4, including Year 4 orientation (schedule development, logistical coordination, communication, evaluation assistance), NBME Step 2 Self-Assessment Voucher Distribution (management, record-keeping, communication), and serving as the primary College of Medicine liaison for the Simulated Interprofessional Rounding Experience (SIRE).
  • Coordinate the Integrated Year 4 courses (Longitudinal Research, Developing Scholarly Skills, Design Your Own courses), overseeing applications, reviewing submissions, tracking student milestones, managing evaluations, and maintaining course pages.
  • Provide administrative support for key aspects of the COM clinical curriculum, including ensuring accuracy of Year 4 webpages, updating pocket cards for required courses, and providing support during curricular courses and events.
  • Attend required meetings such as Year 3 and Year 4 Planning meetings and CONNECT sessions.
  • With the clinical curriculum team, coordinate Feedforward sessions, proctor NBME exams, assist with transcript audits, create and distribute monthly newsletters, and complete curriculum and assessment mapping for coordinated courses.
  • Provide administrative support to the Assistant Dean for Clinical Coordination.
  • Coordinate/assist with additional projects as needed, including coverage of colleagues.
