About The Position

The Student Services Manager is responsible for all aspects of undergraduate and graduate student support for the Department of History. This role manages the growth of the Department’s programs, with responsibility for advising, course/program planning, scheduling, engagement and developing related policies and procedures. This role is key to shepherding students through their programs with confidential support outside of academic hierarchy, while maintaining program integrity and professionalism. The Manager works with faculty on the development of undergraduate academic initiatives by designing, delivering, and evaluating services and programs that support student success.

Responsibilities

  • Responsible for building/maintaining a healthy, supportive, respectful work environment for the Student Services Team and supporting the Administrator in the same work for the entire Staff Team
  • Responsible for all Department of History’s academic programs
  • Manages the Student Service unit’s team and balancing work loads of the team.
  • Responsible for course schedule planning related decisions such as faculty preferences, workload, courses to be offered, number of sections, number of TAs, etc.
  • Evaluates cross unit/faculty course offerings and time slots to optimize History’s course schedule
  • Evaluates enrolments and program capacity to recommend the scheduling or cancelation of courses
  • Monitors enrolments and adjusts course seat releases and course caps of enrolment as required, prior to and during registration periods; identifies and implements strategies to manage registration and distribute students into under-enrolled sections.
  • Collaborates with faculty members and Undergraduate Committee on academic program development and design, providing recommendations for improvements
  • Facilitates revisions and drafts curriculum proposals for submission to the Faculty of Arts Curriculum Committee, and provides assistance to faculty in submission of curriculum proposals.
  • Solicits reviews of incoming curriculum proposals from other units from appropriate departmental faculty members after consultation with the Associate Head Undergraduate or Associate Head Graduate, as appropriate.
  • Conducts primary and secondary research, analyzes findings and creates reports on curriculum and program enrolment trends.
  • As the main user of [email protected], advises potential and existing graduate students on all aspects of primarily History’s MA and PhD programs (admissions, academic policies and requirements, awards and scholarships, program procedures, course scheduling, etc.).
  • Refers students to Associate Head Graduate (AHG) for academic advising.
  • Advises current and potential graduate students on financial aid and scholarships opportunities.
  • Proactively builds and sustains confidential advising relationships with graduate students, using professional experience to provide non-judgmental and equitable guidance in both academic and non-academic cases.
  • Supports students in crisis (personal or academic) and provides advice on academic options, their rights and responsibilities, University appeals processes, and connects them with support services as needed
  • Ensures all graduate students meet all program requirements and receive the appropriate advice and support for the duration of their program; conducting needs assessments when appropriate.
  • Facilitates appropriate resolution of disputes between faculty and students, and escalates complex cases to the Head.
  • Provides specific, sensitive and complex guidance to staff for student concerns and cases.
  • Provides leadership to other staff in department to provide seamless support and services to students.
  • Actively develops and sustains relationships with other units such as Arts Academic Advising, Graduate + Postdoctoral Studies, and Enrolment Services to ensure advising is consistent with Arts Academic Advising and larger university practices.
  • Manages the TA recruitment process, works with Administrator to ensure TA contractual preference requirements and financial commitments are met, works with the TA Coordinator on assigning TA’s to courses, oversees the TA hiring process by assigning tasks to the Student Services Coordinator and Student Services Assistant
  • Manages training programs, consulting with the faculty TA Coordinator to understand need
  • Develops and implements TA focused policies and procedures, including evaluations, for all course instructors and Tas
  • Responsible for the continuous improvement of student-focused systems, policies and processes, managing the mapping of current processes, re-designing processes, , as well as implementing approved changes.
  • Identifies areas where programs and services would support and enhance student academic success and engagement.
  • Works with History student groups, creates surveys and conducts other research to report on student satisfaction and student performance, to ensure the department is offering competitive programs that meet student needs. Reports include identifying areas for improvement and making related recommendations.
  • Manages recruitment materials, including brochures, website content, etc.
  • Manages the strategic recruitment of prospective graduate students and the retention of high-quality graduate students.
  • Develops and evaluates effectiveness of programs and events and make recommendations for future improvements.
  • Manages and administers Student Services budgets
  • Identifies new opportunities to increase student funding and awards
  • Serves on Undergraduate and Graduate Committees
  • Manages annual preparation of student program reports; reviews, analyzes and presents statistics and other internal and external reports as required
  • Performs other duties as assigned.
