About The Position

Emplify Health is seeking a Student Program Administrator to join their Medical Education team. This role is vital in coordinating clinical education opportunities for undergraduate and graduate student learners across Emplify Health. The administrator will partner closely with academic institutions, healthcare leaders, faculty, and students to ensure a seamless, compliant, and enriching educational experience. This collaborative role serves as the primary liaison between student learners, academic partners, physicians, program leadership, and accrediting organizations. Responsibilities include overseeing student onboarding, clinical rotation coordination, supporting compliance initiatives, and process improvements, all while shaping the next generation of healthcare professionals and enhancing the learner experience. The position works closely with Medical Education leadership and key stakeholders to support educational excellence and strengthen academic partnerships.

Requirements

  • Bachelor’s in project management, business administration, healthcare administration, education / education administration, or related field is required.
  • At least 2 years’ experience with administrative management, accreditation management, project management, education / education administration or hospital systems.
  • Excellent organizational and project management skills.
  • Strong verbal and written communication abilities.
  • Ability to build and maintain relationships with diverse stakeholders.
  • Experience coordinating multiple projects, schedules, and deadlines simultaneously.
  • Strong problem-solving and critical-thinking capabilities.
  • Strong attention to detail
  • Proficiency using Microsoft Office and administrative database systems.

Responsibilities

  • Manages the compliance of Academic Institution(s), Accrediting Organization(s), and organizational regulations to adhere to and enforce all policies and standards as it applies to student learners’ academic training at Gundersen Health System.
  • Communicates all regulatory requirements to stakeholders.
  • Organizational liaison officer who specializes in administrative academic coordination for student learner activity within the facility ensuring smooth flow of planning, preparation, and execution of activities related to maintaining program objectives.
  • Provides supervision, problem solving support and direction to undergraduate and graduate student learners, faculty, and staff.
  • In collaboration with Rotation Leads, Block Directors, Site Directors, Department Leaders, and Medical Education Managers works to develop, implement, and assess the learner process for regulatory compliance and learners experience.
  • Devises and manages schedules for student learners for required educational activities, including didactic experiences, in compliance with governing bodies, academic and organizational requirements directed, through oral, written, and electronic communication and logistical coordination of with learners, academic institutions, and clinical departments.
  • Collaborates in design and delivery to meet timely reporting of student learners, faculty, and program evaluations requirements.
  • Executes organizational strategies and support through partnership with departments to meet compliance requirements, recruitment needs, regulatory verifications or other requirements, as requested.
  • Assists in the development of new processes and policies to improve efficiencies / compliance and develops communication strategy for dissemination.
  • Researches, and self-educates, regarding current changes and trends within education, provides feedback regarding latest information for organizational change / improvement and applies relevant information to daily work routine.
  • Tracks program expenditures.
  • Assists in development of yearly budget proposal through review of costs of program and makes recommendation of future needs.
  • Ensures that confidential files and records of current undergraduate and graduate student learners are maintained in accordance with required governing or organizational requirements.
  • Performs activities and special projects as assigned and identifies areas of programmatic improvements and develop initiatives to address weakness.
  • Member of committees that provide direct / indirect oversight of student learners.
