About The Position

Medical Records Intern (High School Senior) Part Time. We are excited to offer a valuable internship opportunity for a motivated high school senior interested in gaining real-world experience in the healthcare industry. This paid internship provides a unique chance to work within our Medical Records (Health Information) department, where the intern will develop essential skills and understanding of medical record management in a professional office setting. The position is designed to support the student’s educational growth while providing meaningful exposure to healthcare operations.

Requirements

  • Currently a high school senior with a strong interest in healthcare or office management
  • Excellent organizational and attention-to-detail skills
  • Good communication and customer service abilities
  • Ability to learn new software systems quickly and efficiently
  • Responsible, dependable, and professional in demeanor
  • Basic computer skills, including familiarity with Microsoft Office or similar programs
  • Ability to work in an office environment during afternoon hours, balancing school commitments
  • Demonstrates verbal and written communication skills.
  • Demonstrates ability to use Microsoft Office Word, Excel, and Outlook calendar.
  • Demonstrates ability to give and follow instructions accurately.
  • General working knowledge of computers
  • Pursuing high school diploma
  • None required prior to internship. Ability to complete and pass a medical terminology course during internship.
  • Extensive exposure to confidential information or matters.
  • Frequent contact with various persons or groups within and outside of the hospital including employees, department directors, physicians, and outside agency personnel.
  • Must be able to work with and communicate with different types of people.
  • Must be able to prioritize, utilize critical thinking, and adjust to change in work assignments and other change.

  • Performs some duties that require some latitude for independent judgement and initiative in handling situations out of the ordinary.

Responsibilities

  • Participate in orientation and training to understand department procedures and systems
  • Perform duties similar to a Medical Records Specialist, including learning and using the electronic health record (EHR) system
  • Scan documents and import Protected Health Information (PHI) into the EHR accurately and securely
  • Assist with analyzing medical records and related documentation
  • Answer phone calls and assist patients with inquiries regarding their physical medical records
  • Support the team with general administrative tasks related to health information management while adhering to strict HIPAA confidentiality protocols.
  • Gain insight into healthcare compliance, privacy regulations, and office workflows
  • Performs documentation analysis of closed records to assure compliance with established guidelines set by Medical Staff Rules, Regulations and Bylaws, hospital, state, and federal guidelines.
  • Scans and imports clinical documents into the hospital's electronic health record system in a timely and accurate manner.
  • Performs document pickup, drop-off, sorting, and second-checking duties as assigned or as necessary.
  • Distributes documents for clinician signature (paper and/or electronic versions) as necessary.
  • Assists with other department duties as necessary or as assigned.
  • Assist with answering the department's main telephone line as necessary and as assigned.
  • Assist with the performance of release of information functions as necessary and as assigned.
  • Performs other duties as assigned.
  • Maintains effective channels of communication with other employees.
  • Takes appropriate action in problem situations to minimize potential adverse effects.
  • Projects a professional and positive attitude regarding the hospital and the department.
  • Observes hospital dress guidelines and wears hospital issued identification badge.
  • Provides proper notification for absences and is punctual for start of scheduled work time.
  • Participates in emergency procedures, fire drills, evacuation procedures, and other internal/external disaster response.
  • Demonstrates support for and contributes to the hospital's mission, vision and values.
  • Participates in the hospital's Quality Improvement Program by: Bringing potential problems to the appropriate person's attention. Assisting in data collection. Suggesting solutions to the problems. Emphasizing, supporting, and committing to quality improvement practices and processes.
