About The Position

Reporting to the Student Information Systems Coordinator, the Student Information Systems Support employee serves as the main contact for enrollment, withdrawals, records, transcripts and student data.

Requirements

  • High school degree or equivalent.
  • Demonstrate proficiency in technology skills with the ability to learn and use online platforms, systems and software for record keeping and data-intake purposes.
  • General knowledge of standard office practices, procedures, equipment, bookkeeping, and/or secretarial techniques.
  • Ability to prioritize, perform tasks with accuracy, be detail-oriented and meet deadlines.
  • Demonstrate standards of moral character and maintain a professional demeanor to serve as an effective role model for learners.
  • Exercise mature judgment in working with confidential information.
  • Demonstrate excellent communication and interpersonal skills, both verbal and written.
  • Work independently, be a self starter, problem solve and multi-task.
  • Establish and maintain friendly, cooperative and effective working relationships with all learners, families and staff.
  • Willingness to be involved on teams and committees to support the school’s mission and vision.

Responsibilities

  • Organize and maintain learner records and reports.
  • Assist with enrollment and student registration information from start to finish.
  • Perform duties as assigned and outlined by the directors and student information systems coordinator.
  • Provide general administrative and clerical support including mailing, scanning, and faxing.
  • Assist with the management of the enrollment department mail.
  • Work collaboratively with the enrollment team to develop systems to manage family intake and support educational facilitators.
  • Respond to correspondence within 24 hours during the school week.
  • Assist with staff training on enrollment as needed.
  • Retrieve mail/correspondence from official school PO Box.
  • Prepare reports by collecting and analyzing information as needed.
  • Expedite withdrawals from start to finish.
  • Follow up with families and staff to provide excellent customer service.
  • Maintain Google documents and spreadsheets with current family information and other correspondence.
  • Respond to program inquiries in a thorough and professional manner.
  • Edit emails and other correspondence for thoroughness and accuracy.
  • Collaborate with enrollment teammates, the leadership team, and Exploration directors to improve existing processes and develop new systems.
  • Maintain and organize student files and records including current school information.
  • Maintain EL, special programs and special education documentation on learners, updating information as received from directors and coordinators.
  • Maintain a variety of documents and reports including transfers, cumulative folders, reports of progress, state testing data, IEPs, EL information, and other correspondence as needed.
  • Correspond regularly with administration regarding student attendance or general enrollment concerns.
  • Assist high school counselors/coordinators with the preparation of transcript information and other student data.
  • Aid in the maintenance of student information systems.
  • Respond within 24 hours to all emails and calls received during the school week.
  • Attend meetings and training as required.
  • Complete other duties as defined by the Director of the program or other school leaders.

  • When needed to support a school or education program, must have the ability to travel by public transit as well as operate a vehicle for self-transportation purposes between worksites.
  • Assessing the accuracy, neatness and thoroughness of the work assigned.
  • May encounter outdoor elements: high (>90)/low (<60) temperatures, precipitation and/or wind.
  • Ability to work in situations involving the need to make informed and quick decisions.
  • Ability to supervise/manage workers and delegate as needed in project management situations.
  • Reading detailed documentation and analyzing data sets.
  • Writing professionally, both by hand and utilizing computer software.
  • Speaking in public settings including making public presentations to large and small groups.
  • Dealing and navigating professionally through high-stress situations.
