About The Position

Spare builds AI-powered software that helps cities deliver better transit. Over 250 communities around the world rely on us today. We are growing fast and the internal operations that hold everything together need to match that pace. Strategic Operations sits at the centre of how Spare runs day to day. The foundation of the role is executive support for the three co-founders and oversight of the in-office experience: travel and scheduling, vendor relationships, events, culture, the environment that makes Spare a place people want to show up to. Once that foundation is dialled in, the role opens up into real strategic work alongside the Manager, Strategic Projects: planning sessions, cross-functional initiatives, board cycle support, and the internal AI tooling that is shaping how Spare operates next. The operational work is non-negotiable. It comes first because it is the foundation everything else is built on. The strategic work is what makes this role different, and it is what you grow into as you prove out the baseline. This is an early-career role. Requirements

  • Early in career, potentially a recent graduate or with 1-2 years of experience in a fast-paced environment.
  • Exceptional ability to manage multiple tasks concurrently without compromising quality.
  • Highly organized to handle diverse responsibilities such as founder travel, office operations, and strategic projects.
  • Low ego and high sense of ownership, willing to perform essential but unglamorous tasks.
  • Excellent judgment and discretion when handling sensitive information.
  • Good taste and attention to detail in managing gifts, events, and the office environment.
  • A builder mentality, with a proactive approach to identifying and fixing broken processes.
  • Excitement about AI tooling and a perspective on how AI can transform company operations.
  • Full-time presence required at the Vancouver HQ, 5 days per week.

Responsibilities

  • Founder support: Understanding the needs and preferences of the three co-founders and providing support for the broader leadership team. Handling tasks such as life event gifts, client hospitality, welcome notes, and ad-hoc requests with discretion.
  • Travel, logistics, and scheduling: Managing all aspects of founder travel, including flights, hotels, itineraries, and restaurant reservations. Supporting their calendars and handling meeting logistics. Managing recurring administrative tasks like expenses, cheque deposits, and document scanning.
  • Office, events, and culture: Overseeing the daily operations of Spare's Vancouver HQ, including the office environment, food services, and vendor relationships. Organizing monthly socials, quarterly outings, an annual holiday party, and internal events like hackathons, team workshops, and SKO.
  • Strategic projects: Taking ownership of strategic work alongside the Manager, Strategic Projects, which may include coordinating strategic planning sessions and offsites, supporting cross-functional initiatives, contributing to board preparation and follow-up, and assisting with the development and rollout of internal AI-based process tooling. This aspect of the role grows in significance over time.
