About The Position

This role is responsible for ensuring compliance with maintenance control plans and sourcing policies and procedures. The Storeroom Buyer executes releases or purchases for and manages the transactions for materials and services specific to the plant. They manage storeroom transactions related to items purchased by the plants, covered by corporate contracts, negotiated by Sourcing or the Purchasing Manager. This position performs root cause analysis on inventory errors, vendor late deliveries, and vendor quality deliveries, resolving issues through data and elevating late deliveries that will affect maintenance/production operations. The role incorporates timely KPIs through BI tools with Tabware and Oracle for all KaMin’s stockrooms. A key behavior is being proactive vs. reactive to prevent issues from cascading and understanding components and their function in the manufacturing process. The Storeroom Buyer participates with plant departments facilitating the procurement of plant stock goods for the storeroom by receiving multiple quotations, negotiating the best price, and adhering to sourcing’s contracted pricing and Sourcing Department’s Purchasing Policies. They are responsible for understanding and communicating storeroom inventory values, trends, and variations that affect the P&L.

Requirements

  • Minimum three years’ experience with computer systems pertaining to computerized maintenance management systems and computerized purchasing systems.
  • Understands the procure to pay process including the legal requirements pertaining to purchase orders and contracts; this experience would usually be gained from a minimum of three years of relevant buying experience.
  • Ability to assist in managing storeroom inventory levels and executing purchase orders.
  • Proficient in the use of PCs and Office software programs.
  • Excellent verbal and written communication skills.
  • Work in a fast-paced/short lead-time environment to process required purchases and delivery for materials and contract needs.
  • Ensure desired inventory levels are maintained to provide support for storeroom to operate without shutting maintenance department down or causing downtime or backlog for parts.
  • Maintain awareness of products or services available and recommend those that will achieve maximum results in profitability or reduce operation costs.
  • Back up Order Specialists at other plants during absences.
  • Ensure terms and conditions of purchase orders are in compliance with previously negotiated contracts and agreements.
  • Ensure RBNI and IBNR are reconciled regularly in conjunction with Accounts Payable.
  • Recommend action to be taken on suppliers for non-performance and non-conformance.
  • Recommend vendors and suppliers that meet KaMin’s standards of compliance.

  • 4-year degree in Finance, Business, or related field of study preferred and or a combination of education and relevant work experience related to storeroom environment.

Responsibilities

  • Performs root cause analysis on inventory errors, vendor late deliveries, and vendor quality issues, resolving them through data.
  • Elevates late deliveries that will impact maintenance/production operations.
  • Incorporates timely KPIs through BI tools with Tabware and Oracle for all KaMin’s stockrooms.
  • Proactively prevents issues from escalating and understands component function in the manufacturing process.
  • Participates with plant departments to procure plant stock goods for the storeroom by obtaining multiple quotations and negotiating prices.
  • Adheres to sourcing’s contracted pricing and Sourcing Department’s Purchasing Policies.
  • Understands and communicates storeroom inventory values, trends, and variations affecting the P&L.
  • Understands the maintenance management system and processes used by maintenance personnel.
  • Analyzes and recommends necessary changes to Tabware for inventory control data.
  • Reviews data management in Tabware quarterly for adjustments or corrections.
  • Develops and maintains a database of approved vendors, noting business environment changes.
  • Completes the MOC process for new vendor requirements to ensure quality goods or services.
  • Negotiates price decreases for services or goods and communicates progress.
  • Determines if inventory quantities are sufficient and orders more materials when necessary.
  • Checks inventory records to determine merchandise availability.
  • Accesses the maintenance management system daily to ensure pending requests are approved for the enterprise resource planning system.
  • Reviews requisition orders in the enterprise resource planning system for accuracy, terminology, and specifications.
  • Works with internal customers to ensure requests are fulfilled.
  • Initiates the quotation process and compares prices, specifications, and delivery dates.
  • Understands and abides by KaMin’s purchasing policies and guidelines.
  • Performs buying duties following purchasing policies and procedures.
  • Prepares, maintains, and reviews purchasing files, reports, and price lists.
  • Verifies customer requests and order information for correctness.
  • Prepares purchase orders and sends copies to suppliers.
  • Contacts suppliers to schedule or expedite deliveries and resolve issues.
  • Informs internal customers of order information, including potential delays.
  • Tracks the status of requisitions, contracts, and orders.
  • Responds to customer or supplier inquiries about order status, changes, or cancellations.
  • Runs the invoice on hold report and works with Accounts Payable to rectify open invoice issues.
  • Works with Accounting to clear the RBNI report and other accounting issues before month-end close.
  • Runs the open PO report quarterly to minimize open POs.
  • Assumes responsibilities for storeroom manager when unavailable, including leadership and decision-making.
  • Provides leadership/decision-making on issues, allocating labor, allocating parts, or other arising issues when acting as storeroom manager.
  • Improves the storeroom maintenance supply chain proactively.
  • Performs other requests as noted by management.
