The SOP Manager partners across business functions in the Operating Group and serves as the single point of accountability for SOP lifecycle management (hub and scope design) from intake and prioritization through approval, rollout, and ongoing maintenance with SOP content writers/approvers across OG.

Requirements

  • 8+ years of experience in operations, process management, SOP governance, or operational enablement.
  • Proven experience owning documentation standards and governance at scale.
  • Exceptional ability to translate complex operations into structured, clear standards.
  • Excellent written communication and executive‑level facilitation skills.
  • Experience in financial services or regulated environments.
  • Background in business operations, audit readiness, risk management, or compliance documentation.
  • Experience with SOP tooling and enterprise content platforms.
  • Familiarity with process improvement methodologies.
  • Ability to travel approx. 15% of the time (between Tempe, AZ and Austin, TX)

Responsibilities

  • Launch Confluence as primary SOP tool in partnership with Technology.
  • Design and implement the SOP framework across the Operating Group working closely with contributors across the functions.
  • Define and socialize clear criteria for when SOPs are required, aligning to complexity, client impact and operational criticality.
  • Own the Kestra Financial Operating Group SOP framework, including standards, templates, taxonomy, and governance model.
  • Define and enforce SOP lifecycle processes (intake, prioritization, review, approval, versioning updates, retirement).
  • Establish clear SOP ownership, review cadence, and accountability across functions.
  • Ensure SOPs meet established expectations.
  • Coach and develop SOP specialists via dotted‑line contributors across Operating Group.
  • Set priorities and manage capacity to align SOP efforts with business needs.
  • Provide quality oversight and final approval of SOP deliverables.
  • Foster strong partnerships with OG leaders and SMEs.
  • Identify SOP gaps and redundancy.
  • Drive SOP commonality and standardization.
  • Align SOPs to training, onboarding, and performance expectations.
  • Oversee the creation of clear, usable, and accurate SOPs that reflect how work is performed with SOP specialists.
  • Ensure SOPs include required elements (purpose, scope, responsibilities, steps, controls, references, version history).
  • Challenge unclear or inefficient processes and drive simplification where appropriate.
  • Ensure SOPs are written for frontline usability, not just documentation completeness.
  • Act as a trusted advisor to leaders on process clarity, risk reduction, and operational readiness.
  • Own SOP documentation platforms (e.g., Confluence, Whale, SharePoint, or similar).
  • Define and maintain content structure, permissions, metadata, labels, and status controls.
  • Partners with technology for SOP migrations, consolidations, or tooling transitions as needed.
  • Leverage tooling capabilities to support governance, discoverability, and reporting.
  • Partner with Training to ensure SOPs are embedded into onboarding and ongoing learning across OG.
  • Drive adoption through clear communication and reinforcement.
  • Monitor SOP effectiveness and incorporate feedback from users.
  • Monitors effectiveness of SOPs through SOP platform dashboards and metrics (coverage, quality, review status, adoption).
