About The Position

For over 40 years, North Hill, a not-for-profit senior living community located in Needham, Massachusetts, has provided vibrant living opportunities to people 65+ by offering a host of hospitality, wellness and health care services. The Staffing and Scheduling Coordinator is responsible for coordinating and maintaining the scheduling for Pines Edge and Vista Terrace. The Staffing and Scheduling Coordinator is responsible for optimizing staffing levels to meet the needs of both facilities. This role is essential in ensuring smooth operations and efficient utilization of resources, ultimately contributing to a positive work environment and high-quality care for our Residents.

Requirements

  • Ability to maintain confidentiality and strong customer support and communication skills
  • Ability to work independently with limited supervision
  • Must possess the ability to deal tactfully with Team Members, Residents, family members, visitors, and the general public
  • Work professionally with people from a wide variety of cultural and socio-economic backgrounds
  • Complies with protection of health information (HIPAA) safeguards
  • When working in Resident areas, must be able to communicate effectively in English
  • Attends and participates in in-service educational classes, memory care training, Healthcare Academy and staff meetings as directed
  • High School Diploma or equivalent
  • Knowledge about basic medical terminology
  • Prior staffing and scheduling experience is preferred
  • Proficient with computer software programs
  • Satisfactory completion of a background investigation is required for this position.

Responsibilities

  • Processes weekly payroll verifying and correlating the weekly schedule with the payroll control software to ensure accuracy
  • Creates and maintains staff schedules to facility needs
  • Schedules for sick leave, vacation, leave of absences and tracks accordingly
  • Maintains staff statistics, call-ins, and retention report.
  • Notifies the Director of Nursing for attendance, overtime, tardiness and punch variance
  • Maintains call–in and retention report
  • Schedules and facilitates Team Members to attend North Hill educational programs and meetings
  • Assists in maintaining license compliance
  • Enters scheduling data and creates schedules using scheduling software
  • Contacts staff regarding day-to-day changes
  • Enters staff information into database
  • Provides position control with monitoring hours worked in comparison to payroll default hours, submitting requisitions to Human Resources for default hour changes and staffing replacements
  • Monitors compliance of per diem and float agreement requirements
  • Takes initiative to enhance the Resident’s experience at all opportunities
  • Responds to Resident requests for support and uses communication systems appropriately
  • Participate and support household routines as needed
  • Recognizes and reports all allegations of Resident abuse, neglect, exploitation, social media exposure, and/or misappropriation of Resident property immediately
  • Meets department uniform, appearance, and grooming requirements
  • Complies with all OSHA safety regulations, local applicable laws regarding health, safety, or environment
