Requirements

  • Minimum 2 years of experience in scheduling, workforce coordination, dispatch, healthcare administration, hospitality management, or a related field.
  • Proven ability to manage complex scheduling functions and competing priorities.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • High attention to detail with accurate documentation and note-taking skills.
  • Experience handling challenging situations with professionalism and confidence.

Responsibilities

  • Coordinate and manage complex caregiver schedules to ensure full coverage for client care needs.
  • Respond quickly and effectively to schedule changes, call-ins, and urgent staffing situations.
  • Match caregivers with clients based on skills, personality, availability, and client requirements.
  • Maintain optimal staffing levels while balancing quality care and operational efficiency.
  • Develop and manage care giving staff members.
  • Deliver exceptional hospitality and customer service to clients, families, and caregivers.
  • Serve as a primary communication point for daily scheduling and service coordination.
  • Build strong relationships with caregivers and clients to ensure a positive care experience.
  • Support caregiver engagement, retention, and overall workforce satisfaction.
  • Maintain detailed and accurate notes regarding client needs, caregiver performance, schedule changes, and service concerns.
  • Manage complex communications with multiple stakeholders while demonstrating professionalism and empathy.
  • Ensure all records and documentation are timely, thorough, and compliant with company standards.
  • Escalate concerns appropriately and proactively identify solutions.
  • Monitor service delivery to ensure Home Instead's high standards of care are consistently achieved.
