About The Position

As an integral member of the Toronto Rehabilitation Institute Staffing Resource Team, the Staffing Representative ensures the efficient operation of the staffing program by managing scheduling, administration, and team communication. This role is a Permanent Part Time position working 16 hours per week, with a Day/Evening rotation, including Saturdays/Sundays every other weekend, and Statutory Holidays, from 6am - 2pm or 2pm - 10pm. The position is a new role within the Staffing Office department.

Requirements

  • Completion of Grade 12 or a recognized equivalent required.
  • Minimum of two (2) years of related office/clerical experience required.
  • Strong experience in a Microsoft Office/Windows environment, with a required working knowledge of computer databases, spreadsheets, and word-processing.
  • Fast and accurate word processing/typing skills of at least 60 w.p.m. required.
  • Exceptional organizational, time-management, and problem-solving skills required.
  • Strong interpersonal, written, and verbal communication skills required.
  • Proven ability to work independently, perform duties in a self-directed manner, and thrive under pressure.

Nice To Haves

  • Previous experience working within a healthcare facility is preferred.
  • Working knowledge of general office practices, procedures, and standards preferred.
  • Demonstrated ability to work effectively both independently and as a collaborative team player preferred.
  • Prior experience in staff scheduling is considered a strong asset.
  • Working knowledge of collective agreements as they relate to staffing and scheduling is an asset.
  • Familiarity with medical terminology is an asset.

Responsibilities

  • Ensure equitable shift distribution among nursing staff and Personal Support Workers (PSWs) across inpatient units.
  • Strategically deploy Staffing Resource Team resource staff to fill coverage gaps.
  • Provide essential clerical, reception, and administrative support for the Staffing Office.
  • Utilize spreadsheet and database software to compile and track operational data.
  • Coordinate seamlessly with hospital personnel.
  • Deliver training and orientation to onboarding team members.
  • Undertake cross-functional responsibilities as required to support the department’s overall success.
