About The Position

Ontario Shores Centre for Mental Health Sciences is seeking an individual with excellent communication and problem-solving skills for the Clerk 2 (Staffing Clerk) position in their Centralized Scheduling (CSSO) Office. Reporting to the Manager, CSSO, the Staffing Clerk will be responsible for updating and maintaining staffing schedules.

Requirements

  • Grade 12 Ontario Secondary School Diploma or equivalent is required.
  • Minimum of two years clerical experience in a hospital/healthcare setting is required.
  • Data entry skills, a minimum of 30 wpm at 90% accuracy is required.
  • Excellent organizational skills and attention to detail to prioritize workflow in a busy environment with interruptions.
  • Intermediate Microsoft Office skills including Windows, Excel, Power Point, Outlook.
  • Strong interpersonal skills which includes demonstrated communication and presentation skills.
  • Demonstrated ability to work cooperatively with staff at all levels of the organization.
  • Demonstrated ability to be self-directed and respond to requests in a timely manner.
  • Demonstrated aptitude to learn new computer programs.
  • Demonstrated problem-solving abilities using defined policies and procedures.
  • Satisfactory work performance and attendance record required.

Nice To Haves

  • Knowledge of Meditech Staff Scheduling or other scheduling software is a definite asset.

Responsibilities

  • Processing and updating schedule changes using the Meditech system on a daily basis.
  • Liaising with Clinical Managers and Scheduling Manager regarding discrepancies in shift requests and making appropriate adjustments.
  • Receiving and processing requests for relief coverage from clinical units.
  • Making necessary adjustments based on availability of existing staff and workload needs.
  • Allocating and calling in relief staff to fill vacancies resulting from unfilled positions, vacations, LOA, sick leave, and workload adjustments, following the relevant collective bargaining agreement.
