About The Position

The Staffing Assistant is responsible for serving as the point-person for employers, applicants and new hires providing administrative and program support.

Requirements

  • High school diploma or equivalent required
  • Three years of experience in a customer service, account management, client services, staffing services or administrative role required
  • Effective written, verbal and listening communication skills with the ability to convey and understand information and operate with transparency
  • Able to use effective problem solving and conflict resolution/management techniques to deescalate issues that may arise
  • Strong attention to detail and organizational skills to effectively manage multiple priorities, tasks and deadlines with little direct supervision
  • Intermediate level computer skills with working knowledge of Microsoft Office products including Word, PowerPoint, Excel and Outlook; Intermediate comfort level with using the Internet to research and obtain information
  • Strong customer service skills and ability to successful build effective working relationships
  • Ability to work successfully independently and as part of a larger unit, department or team
  • Compassion and respect for persons with special needs and barriers to employment

Nice To Haves

  • A current valid and unrestricted driver’s license and be fully insured according to Maryland law preferred

Responsibilities

  • Recruit, relocate and retain potential candidates for temporary employment
  • Coordinates processing all pre-placement requirements including pre-screening interviews, skills testing and assessment and reference checks
  • Makes all job offers, processes requests for pre-employment screenings including criminal background checks, educational verifications and drug testing as needed; tracks results of all pre-employment screenings, sending out adverse action and/or withdrawal of offer letters when necessary
  • Coordinates all new hire paperwork, including creating and retention of new hire files
  • Completes I9 eligibility verification, retention and audits
  • Reviews Annual Insurance Option collection and retention
  • Provides orientation training to all new hires
  • Participates in career fairs
  • Reviews referred clients’ resumes, interests and abilities for appropriateness of skills, experience, and knowledge in relation to employer needs and requirements
  • Coordinates and obtains client referrals from either WFD placement staff (internal referrals) or outside agencies (external referrals)
  • Contacts employers directly to obtain specific information about job orders including position requirements, length of assignment (if temporary), work rules/standards, etc.
  • Creates and maintains a client database logging all interactions and placement activity including assessment/testing scores, geographic locations able to travel to, assignments completed with feedback from employer and other pertinent information
  • Works to create a pool of “ready-to-work” clients to fill job orders quickly and efficiently while working towards meeting established annual placement goals
  • Responsible for terminations, rescinding of offers, downsizing and outsourcing as required
  • Utilizes GIC’s data management systems to produce statistical reports and narratives on placements as needed
  • Responds to unemployment claims, provides termination details, and payroll related information
  • Provide support to audit and reconcile payroll as needed
  • Maintains up-to-date record keeping in GIC’s data management systems
  • Other administrative and support duties as required
