About The Position

The Staffing Coordinator performs clerical duties in Nursing Administration, provides support to the CNO and Nursing Managers and is responsible for managing and overseeing schedules for clinical employees. The Ridge offers a healing environment to reassure patients’ sense of security and confidentiality. Dedicated to excellence, The Ridge is accredited by the Joint Commission on Accreditation of Healthcare Organizations, as a licensed, 110-bed hospital, providing psychiatric (mental health) and substance use disorder (drug and alcohol rehabilitation) services to children, adolescents and adults. Inpatient care is provided on a 24-hour basis, seven days a week. Outpatient and partial hospitalization services are provided on a five-day per week basis, days and evenings. Care is provided according to an established code of ethical conduct and strict adherence to patient rights.

Requirements

  • High School Diploma or GED required.
  • Two years of related experience preferred.
  • Computer experience is required.
  • Crisis intervention training required and is offered upon hire.
  • Knowledge in secretarial services preferred.
  • Ability to handle multiple tasks.
  • Ability to maintain strict confidentiality.

Responsibilities

  • Consistently communicates within boundaries of confidentiality policies and procedures regarding employee specific information.
  • Records and routes telephone and in-person messages accurately, completely, and promptly.
  • Meets with Payroll Accountant to edit Kronos regarding employee time reporting.
  • Collaborates with Payroll Accountant to ensure that all Kronos forms are adjusted in the Kronos system.
  • Ensures that all Kronos forms are signed by the Nurse Manager, CNO, and the CFO.
  • Audits daily Kronos reports for accuracy.
  • Audits/reconciles the daily census to the daily staffing assignments.
  • Forwards applicable staffing information to house supervisors, nurse managers, and CNO as needed.
  • Places outgoing staffing calls in a timely manner.
  • Utilizes scheduling software effectively to track employee schedules and ensure adequate unit staffing.
  • Collaborates with Nurse Managers to ensure draft staffing schedule is posted 4 weeks prior to implementation and final schedule is posted no later than 2 weeks prior to implementation.
  • Coordinates the submission of time off requests and communicates approval/denial decision to employees.
  • Maintains scheduled vacation request calendar.
  • Maintains on-call schedule for Nurses and MHTs.
  • Breaks down attendance information including tardiness and early departures for nurse managers and HR for proper follow-up.
