About The Position

This vacancy is open ONLY to current regular and hourly employees who are members of SEIU Local 1021. Per new Article 8.7 of the Local 1021 hourly contract, this job is being posted for ten (10) working days. Positions assigned to this classification are professional level positions which support and are funded by a categorically funded program/project. Continuation of the position is contingent upon refunding of the program/project. Under the general supervision of the Director of Student Activities and Campus Life, the Staff Assistant performs clerical and technical support for all areas under the Office of Student Activities and Campus-Life.

Requirements

  • Three (3) years of progressively responsible secretarial/technical administrative experience; or an equivalent combination of training, education and experience that could likely provide the desired knowledge and abilities to perform the duties of the position.
  • Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet, and database management software programs (e.g., MS Office Suite-Word, Excel, Access, and PowerPoint), the internet browser, and e-mail.
  • Understanding of, sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of Peralta Colleges’ students, faculty, staff and community.

Nice To Haves

Responsibilities

  • Performs a wide range of clerical, technical, personnel and budgetary control duties related to the operations of the Student Activities and Campus Life such as but not limited to completion of forms and online submissions of monthly basic needs reports, budget transfers, adjustments, requisitions, and warehouse supply orders.
  • Assists in the maintenance of the budgets for the Office of Student Activities and Campus Life and Associated Students.
  • Interprets and implements college policies and procedures related to student activities.
  • Reviews and codes hourly student staff time sheets and monitors maximum allowable time worked.
  • Provides administrative support such as but not limited to, communicating with students, maintaining, or transcribing meeting minutes, drafting professional correspondence.
  • Recommends ways computer technology or other work methods can improve workflow efficiency and quality of services to students.
  • Provides information in person or by telephone, where judgment, common knowledge and interpretation of policies and regulations are necessary.
  • Assists the Director of Student Activities in responding to inquiries and requests information from students, faculty and staff concerning facility reservations, student center services including but not limited to cafeteria, bookstore and health service, and other general student services inquires.
  • Collects and maintains all facility reservation forms and updates the master calendar of student activities and events.
  • Communicates with facility staff to assure all facility needs for hosts are being met.
  • Schedule meetings and conferences and may represent the Director of Student Activities at meetings to obtain information relevant to the Office of Student Activities and Campus Life.
  • May assist in accompanying students to local and statewide activities and conferences.
  • Assists the Director of Student Activities and Campus Life with various annual events and ceremonies such as welcome week, commencement, honors and awards banquet, and variety of social, cultural, and recreational activities.
  • May train other classified and supervise student employees.
  • Performs other duties as assigned.
