About The Position

Assists in the Program Manager in the implementation, coordination, and continuing operations of both locations at the Family Links/North Valley Youth & Family Center and Central Valley Youth & Family Center Clinics. This role requires bilingual Spanish proficiency to work in two locations. The schedule is Monday through Friday, either 9 AM to 6 PM or 10 AM to 7 PM.

Requirements

  • High School Diploma or equivalent.
  • Three years clerical experience, two years of which must be in a highly specialized or supervisory capacity, preferably in a mental health setting.
  • 50-55 wpm minimum.
  • Must pass Department of Justice Fingerprint Clearance.
  • Valid California Driver’s License is required.
  • Must meet guidelines of agency’s driving criteria (i.e. Proof of liability insurance, minimal moving violations, driving record free of DUI’s or reckless driving in the last 3 years, etc.) and maintain the criteria as per company policy at all times.
  • Must act in accordance with all Health Insurance Portability and Accountability Act (HIPAA) of 1996 and related state law confidentiality requirements.
  • Must successfully complete the Center’s HIPAA training, pass the HIPAA test, and receive the Certification of Compliance.
  • Bilingual English/Spanish Required.
  • Regular attendance is an essential function of the job.

  • Computer skills.
  • Able to work effectively with a range of clients and staff from diverse ethnic and cultural backgrounds.
  • Is respectful and sensitive to each family’s cultural and individual needs and customs as appropriate.

Responsibilities

  • Assists Program Manager by providing leadership to clerical and volunteer staff.
  • Responsible for the administrative portions of all staff and volunteer orientations and coordinates this training with the Program Manager.
  • Schedules intake referrals and responsible for all data entry related to Exym SRL, DMH SRTS and DMH NOA.
  • Completes required Monthly Program Alerts.
  • Completes regular data entry of the PEI OMAs into the DMH PEI Database.
  • Orders all office supplies.
  • Functions as Administrative and Safety Coordinator and attends Center-wide required meetings.
  • Schedules all MD appointments and trouble-shoots pharmacy calls.
  • Assists MD with documentation compliance.
  • Provides assistance with answering phones and scheduling intake appointments.
  • Maintains and updates complete inventory of office furniture.
  • Performs special projects as assigned.
  • Provides direct crisis intervention.
  • Supports families requiring help.
