About The Position

Assist the Controller in directing the hotel’s financial activities, safeguarding assets, and preparing financial reports in accordance with generally accepted accounting principles and HEI Hotels and Resorts standards. The role includes night audit and receivables review, city ledger and credit card processing, account reconciliation, purchasing and invoice controls, vendor support, and payment processing. The position is with Freehand Miami, part of HEI Hotels & Resorts.

Bachelor’s degree in Accounting preferred.
Accounting experience preferred.

Responsibilities

Sort and verify the accuracy of Night Audit work, primarily the receivables aspects, including banquet check extensions, banquet cost coding, and sales and promotion checks with supporting documentation.
Record department administration phone calls and inform the Controller of potential concerns.
Post city ledger payments in the property management system; reconcile and bill city ledger accounts; perform follow-up billing and credit collection documentation; and report potentially uncollectible accounts to the Controller.
Reconcile credit card backup to the General Cashier Summary, report discrepancies, bill credit cards, and maintain accurate, legible credit card logs.
Set up new accounts in accordance with established credit policy.
Assist in reconciling open account status items.
Input the General Cashier Summary and maintain its binder.
File and distribute credit card cancellations, bulletins, and credit warnings; process and follow up on returned checks accepted as cash payment; and record General Ledger and City Ledger reconciliations.
Verify purchasing procedures, including matching purchase order and invoice prices and quantities and confirming valid purchase order numbers; maintain an accurate, current Purchase Order Log.
Route invoices with purchase orders to department heads and Executive Committee members for approval; ensure accurate account coding and timely invoice return.
Process approved invoices for payment and ensure appropriate signatures and supporting documents are attached.
Pay hotel invoices in a timely manner, verifying amounts, account coding, invoice extensions, and applicable discounts.
Handle vendor inquiries and reconcile vendor statements.
Maintain organized, current open invoice, paid invoice, and voided check files.
Interface checks and submit a log of all manual checks to the Controller.
Comply with attendance rules and be available to work regularly.
Perform other job-related duties as assigned.
