About The Position

The Sr Vehicle Operations Logistics Specialists will facilitate and manage the transport of customer vehicles to and from Manheim auction sites and other areas in the region as assigned. This role requires building relationships with the Manheim Auction commercial team and management, managing email communications, and processing manual and system orders. The specialist will handle escalated Client Success VINs, monitor holds and delays, and be involved in dispatch negotiation and sales tactics to increase margin. Key tasks include actioning AutoIMS for delays and cancellations, following up with carriers, processing fees, investigating VIN kickbacks, and holding carriers accountable. The role also involves monitoring order entry failures, understanding margin relative to position, measuring performance through analytics, and reporting results to management. The ideal candidate will be an outside-the-box thinker who can solve problems quickly, possess a working knowledge of Microsoft Office Suite, and be able to work independently in a hybrid environment with a high sense of urgency.

Requirements

  • 1-3 years administrative experience (in automotive industry preferred)
  • Working knowledge of computer usage including Microsoft Excel, Outlook, and Word
  • Ability to work independently in a matrix environment to execute and deliver results
  • Excellent customer service and multi-tasking skills
  • High attention to detail including precise data entry
  • Excellent written and verbal communication skills
  • Ability to work with a high sense of urgency in a dynamic, fast-paced environment
  • High School Diploma or equivalent
  • Valid Driver’s License and the ability to pass a background check and drug test required.

Responsibilities

  • Build relationship with Manheim Auction commercial team and management
  • Show proficiency with communication via recorded line phone system
  • Manage email boxes for multiple locations and collaborate on regional emails
  • Entry of all manual orders and processing of other AS400 system orders
  • Manage escalated Client Succes VINs with carriers and agents
  • Monitor holds and verification delays
  • Dispatch negotiation and a heavy understanding of sales tactics to increase margin
  • Action AutoIMS for Trans Delay Holds, Cancellations, ETA’s
  • Following Up with carriers on several VINs daily
  • Process Fees and post assessorial charges to record
  • Request Hold Harmless/Releases
  • Investigating kickback of VINs by carriers to get units re-dispatched
  • Be comfortable holding carriers accountable to their plan
  • Create and manage corrective action of a vendor
  • Monitoring order entry failures throughout the day and correct
  • Understanding of margin relative to position and some tracking of margin requirements
  • Monitoring and correcting master data files for location errors
  • Measuring performance – understanding analytics for clients and vendors
  • Report on performance results for high level management and executive leaders
  • Compile vehicle transportation related data and generate reports
  • Follow all job-related duties as directed by supervisor
  • Be an outside the box thinker who can solve problems quickly
